Job Summary:
The Development Associate reports to the Director of Donor Relations, Recruitment, and Strategic Partnerships, providing support to the Development Office to aid in planning, scheduling, cataloguing, stewardship, and donor engagement activities that promote the mission and fiscal health of Shaw Divinity. The role includes administrative support to the Director and the Communications and Marketing Strategist, as well as collaboration on special projects and fundraising efforts.
The Associate handles confidential materials, manages correspondence, maintains files, processes mail, and supports office operations, ensuring excellent service to faculty, students, staff, and visitors.
- Respond professionally to inquiries, demonstrating understanding of institutional responsibilities and protocols.
- Answer phones promptly and respond to messages within 48 hours.
- Provide courteous customer service and assist or refer visitors and callers appropriately.
- Take accurate messages and provide directions and information as needed.
- Proactively anticipate and address departmental needs, troubleshooting issues when possible.
- Keep the Dean of Divinity and Development Office informed about relevant issues and upcoming projects.
- Review forms and information packets for completeness before managerial approval.
- Draft routine correspondence and, when appropriate, prepare draft communications for signatures.
- Enter purchasing requisitions accurately with correct expenditure codes.
- Coordinate meetings and events effectively.
- Manage departmental mail, supplies, and materials efficiently.
- Create and maintain procedural documents and checklists for absence coverage.
- Perform additional duties such as supporting travel for projects and fundraising.

High School diploma or higher - Preferred:
Some college or higher in General Business or related field

3 years in Higher Education support roles - Preferred:
Experience in supporting logistics for events and senior executive support
