Graduate Services Coordinator – Student Services Specialist
The Graduate Services Coordinator is the central hub of the department, connecting graduate students, faculty, and the Graduate School. The role drives the administrative life cycle of the program, from tracking initial applicants to maintaining secure, up-to-date files for enrolled students. The Coordinator acts as a primary resource, ensuring deadlines are met and delivering top-tier support to administrators, faculty, and students alike.
Responsibilities- Stakeholder Management:
Serve as the principal administrative bridge between the Director of Graduate Programs, the Graduate School, and the student body. - Admissions Operations:
Oversee the full processing of graduate applications, ensuring all materials are submitted accurately and applicants are kept informed of critical deadlines. - Student Progress Tracking:
Guide students and faculty through complex administrative processes, including committee appointments, exam scheduling, grade changes, and transfer requests. - Compliance & Records:
Maintain comprehensive and secure student records while verifying GSSP eligibility for all graduate assistantships. - Course Scheduling:
Serve as the liaison to the University Scheduling Office, managing semester course builds, room allocations, and data updates. - Front-Line Support:
Deliver exemplary customer service as the first point of contact, troubleshooting issues for faculty, staff, and students. - HR Liaison:
Manage departmental hiring requests for graduate students, coordinating directly with College HR and Finance units to ensure smooth job actions. - Team
Collaboration:
Partner with departmental staff to support broader administrative goals and assist the Director with special projects as requested. - Other Tasks:
Other tasks and responsibilities may be assigned based on the needs of the organization and evolving priorities.
Note:
This position requires an on-campus presence to effectively perform the essential duties of the position. Employees must reside within a commutable distance and report to campus to perform certain work-related tasks as a condition of employment.

- Bachelor’s degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
- Strong organizational skills as well as excellent verbal and writing skills.
- Proficient in technology skills including Google applications and Microsoft Office applications.
- Progressively responsible administrative/office management experience.
- Previous administrative experience in higher education.
- Previous experience in NC State specific systems of People Soft, SIS, SLATE.
- N/A
Valid NC Driver's License required.
