Position Summary
The Inside Sales Admin provides essential administrative and operational support to the Inside Sales team. This role is responsible for entering sales orders, assisting with quote follow-ups, maintaining accurate customer records, and performing general office duties, such as supporting the Branch Manager with schedule keeping and other secretarial work. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced environment.
EssentialResponsibilities
- Accurately enter sales orders into the order management system.
- Assist inside sales representatives with quote preparation and follow-up communication.
- Maintain up-to-date and organized customer records in the CRM system.
- Prepare reports, spreadsheets, and documents as requested by the sales team.
- Perform general administrative duties including filing, scanning, data entry, and document management.
- Support the coordination of internal communications and schedule follow-ups with customers.
- Respond to basic customer inquiries or direct them to the appropriate sales representative.
- Assist with preparation of materials for meetings, trade shows, or customer presentations.
- Ensure confidentiality and accuracy in handling sensitive customer and business information.
- Collaborate with cross-functional departments including accounting, logistics, and purchasing to support order processing.
- Provide secretarial support for the Branch Manager, including scheduling, emailing assistance, ordering supplies, etc.
- All other duties as assigned.
Required:
- High school diploma or GED.
- 1+ years of administrative, sales support, or data entry experience.
- Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable learning new software.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Professional demeanor and customer service mindset.
Preferred:
- Experience in a sales or distribution environment.
- Familiarity with ERP or CRM systems such as SAP, Net Suite, or Salesforce.
Work Environment Requirements
- Prolonged periods of sitting and computer use, including typing and viewing a screen.
- Ability to lift up to 25 pounds occasionally (e.g., boxes of documents or office supplies).
- Use of standard office equipment including keyboard, mouse, telephone, copier, and printer.
This is an office-based position with regular interaction with sales, administrative, and support teams. The environment is fast-paced and collaborative, requiring attention to detail and task prioritization.
