SummaryThe Foster Care to Permanency (FC2P) Support Services Coordinator is responsible for managing family foster care and adoption case records and providing administrative support for FC2P staff. The role involves coordination of client records, data systems, and workflow and is based in the Raleigh office.
Primary Job Functions – Duties- Perform criminal records checks for applicants and upload into the Binti database; confirm information for Adam Walsh Child Abuse/Neglect checks and out‑of‑state CRCs; follow‑up to ensure documents are obtained; data entry/scan/upload to Binti.
- Assign Specialist letters to applicants; update information in database system(s).
- Process approved foster care licenses, data entry/scan/upload to Binti/Apricot, notify assigned Specialist, and provide to DSS as needed.
- Manage family client records for FC2P, including new case set‑up and follow‑up on missing items.
- Process and file all case documentation for services provided to clients.
- Submit family referrals matched with specific children and record in Apricot and/or Binti.
- Submit RILs and fingerprints to State office for approval and coordinate/follow‑up; data entry/scan/upload to Binti.
- Prepare foster care service contracts for children in care and follow‑up with DSS for contracts not received; scan/upload to Binti.
- Process foster care licensing packets and adoptive pre‑placement assessment packets and verify required documentation; data entry into Apricot and/or Binti.
- Submit approval letters to families upon receipt of licensure from State.
- Monitor DQR Report in Apricot and coordinate with Specialist for missing documentation/information.
- Process and file documentation within set time frames.
- Compile client records to comply with accreditation, licensure, local mental health entities, or other funding source guidelines.
- Assist with office and building maintenance, including ordering supplies, mail, equipment, and coordination of room use/reservations.
- Assist with CHS events related to foster care to permanency services as needed.
- Provide hub support coverage or other assigned duties.
- Assist clients and visitors in the office area.
- Perform other duties related to program goals and projects as needed.
- Display sensitivity to the service population’s cultural and socioeconomic characteristics.
- Attend team meetings (in person or via Teams).
- Contribute to a positive, engaging work environment.
- Demonstrate the CHS Mission, Vision, and Values in all job duties.
- Develop a strong knowledge base and stay current on job‑related issues and trends.
- Participate actively in departmental meetings, training, education, and quality processes.
- Comply with CHS’s code of conduct, policies, procedures, and other obligations.
- Perform other duties related to department goals and projects as needed.
- Some college experience required; a two‑year college degree preferred.
- Minimum of three years’ office coordination experience preferred.
- Strong organizational skills, computer skills, attention to detail, ability to meet deadlines, and manage high volumes of paperwork.
- Excellent people skills and ability to build relationships.
- Excellent oral and written communication skills.
- Intermediate computer skills:
Microsoft Applications and electronic data systems, timesheets, expense reports, and virtual meeting platforms. - Capability to multi‑task, set priorities, and handle interruptions throughout the day.
- Strong verbal and written communication skills.
- Physical ability to use standard office equipment.
- Physical ability to transport clients, conduct on‑site visits, and lift/move up to 25 lb.
- Frequent travel required.
- Maintain a valid North Carolina driver’s license, adequate auto insurance, and access to an operating vehicle.
Standard work week: 8:30 am – 5:00 pm, Monday–Friday. Flexible hours may be required. Occasional travel may be required for business activities.
