Role Summary
The Project Manager will support the V&I Center for Scientific Exchange Excellence by leading cross-functional project execution, vendor coordination, and operational communications across multiple concurrent initiatives. This role requires strong organizational skills, proactive risk management, and the ability to manage complex workflows in fast-paced, regulated environments.
The ideal candidate brings experience managing multiple brands or programs simultaneously, coordinating both digital and non-digital initiatives, and acting as a central point of accountability across internal teams and external partners.
Core Responsibilities Project Management & Execution- Manage multiple projects and work streams concurrently, supporting several initiatives and stakeholders at once
- Maintain detailed project trackers in Excel, monitoring timelines, milestones, dependencies, and deliverables
- Lead project status meetings, prepare agendas, document outcomes, and track follow-up actions
- Identify project risks and resource constraints; proactively implement mitigation strategies
- Drive continuous process improvements to increase efficiency and delivery quality
- Serve as the central coordination point across internal teams (scientific, medical, creative, operational)
- Assign workflows, monitor progress, and ensure timely, high-quality deliverables
- Facilitate alignment across stakeholders to ensure objectives, timelines, and responsibilities are clearly defined
- Act as the primary liaison for external vendors, ensuring alignment to scope, timelines, and quality expectations
- Hold vendors accountable for deliverables and performance
- Track, reconcile, and report on project and vendor budgets
- Maintain accurate vendor-related updates within project tracking tools
- Quickly learn and independently manage internally developed (homegrown) systems and tools
- Maintain and organize internal Teamsites and collaboration platforms (e.g., Teams, SharePoint), including periodic clean-up and document governance
- Ensure consistent use of tools, templates, and processes across projects
- Own all project documentation, including:
- Meeting agendas and materials
- Meeting minutes and action item logs
- Project updates and internal communications
- Support broader internal communications, including newsletters and cross-team updates
- Ensure documentation is accurate, timely, and audit-ready
- Required
- Bachelor's degree or equivalent professional experience
- 35+ years of project management or project coordination experience, preferably in pharma, biotech, medical communications, or regulated industries
- Proven ability to manage multiple projects or brands simultaneously
- Strong proficiency in Microsoft Excel and Microsoft Office tools
- Experience leading cross-functional meetings and managing complex workflows
- Excellent written and verbal communication skills
- Experience supporting Scientific Exchange, Medical Affairs, or Centers of Excellence
- Vendor management and budget tracking experience
- Familiarity with digital and non-digital initiatives (e.g., events, communications, platforms)
- Experience with collaboration and PM tools such as Smartsheet, SharePoint, Teams, Trello, or similar
- PMP, CAPM, or equivalent certification (preferred, not required)
- Strong time management and decision-making skills
- Proven ability to lead without direct authority
- High attention to detail with a strategic mindset
- Comfortable operating in fast-paced, multi-brand environments
- Proactive, adaptable, and solutions-oriented
