Location: Quebec

Prosomo is looking for a Legal and Administrative Assistant! Under the supervision of the Director of Legal and Corporate Affairs, the Legal and Administrative Assistant will be responsible for providing essential administrative and legal support to ensure the smooth operation and compliance of Prosomo’s affiliated companies. This role plays a key part in managing the organization’s legal and administrative obligations.

In a little more detail, you will have to:

Update legal and administrative information for affiliated companies.

Maintain data accuracy in corporate tracking systems.

Prepare, organize, and update corporate minute books.

Ensure document retention in compliance with regulations.

Monitor and manage proxies for companies.

Manage and oversee access and procedures via clic

Sécur and Industry Canada for affiliated companies.

Track, organize, and update leases and other contracts while ensuring compliance with key deadlines.

Keep insurance records up to date and coordinate renewals or necessary modifications.

Conduct active monitoring of legal and regulatory obligations applicable to the companies.

Contribute to the implementation and enforcement of internal compliance policies.

Assist in managing accounts receivable, including demand letters and collection procedures.

Complete and submit government and grant application forms.

Draft and update legal and administrative templates.

Manage documentation and administrative follow-up for contracts with federal agencies.

Perform other related tasks as needed.

You must have:

Diploma in Legal Techniques, Administration, or a related field.

Previous experience in a similar role (asset).

Knowledge of corporate obligations and administrative procedures.

Proficiency in computer tools.

Strong organizational skills, attention to detail, and discretion.

Excellent written and verbal communication skills.

Ability to work in a team and meet deadlines.
