Overview:

INTECON, LLC is seeking a highly skilled Senior Administrative Specialist to provide executive-level support to the Defense Counterintelligence and Security Agency (DCSA) Office of the Director. This role is critical in ensuring the seamless operation of the Director’s Office, which includes the DCSA Director, Deputy Director, Chief of Staff, Executive Staff, and the Executive Secretariat.

The ideal candidate is a seasoned administrative professional with a strong background in office administration, project coordination, and executive support. This role requires exceptional organizational skills, a proactive mindset, and the ability to manage high-priority workflows in a dynamic government environment. Key Responsibilities:
  • Executive Administrative Support:
    • Provide high-level administrative and operational support to the Office of the Director, ensuring seamless day-to-day functions.
    • Manage executive schedules, prioritize appointments, and coordinate high-priority meetings.
    • Serve as the primary liaison between executive leadership and internal/external stakeholders, ensuring timely communication and follow-ups.
  • Project & Task Management:
    • Oversee tasking and workflow processes within the Correspondence and Task Management System (CATMS) or successor systems.
    • Assign, track, and monitor critical task deadlines, ensuring compliance with agency priorities and timelines.
    • Conduct thorough quality control and compliance reviews of all staff correspondence before submission for senior leadership approval.
    • Provide technical support and training to DCSA personnel on best practices for task management systems.
  • Correspondence & Document Control:
    • Review, edit, and format official correspondence, ensuring alignment with DoD and DCSA standards.
    • Prepare executive summaries and structured document portfolios for leadership review.
    • Maintain document version control, track multi-stage approvals, and coordinate across multiple stakeholders.
    • Ensure task responses are accurate, complete, and aligned with executive priorities before submission.
  • Strategic Office Operations & Coordination:
    • Maintain situational awareness of key agency initiatives, proactively identifying areas that require executive coordination or intervention.
    • Assist in executing strategic initiatives, ensuring that executive directives are effectively communicated and implemented.
    • Provide guidance on workflow improvements, process optimization, and compliance standards.
    • Support event coordination, executive travel logistics, and VIP engagements as needed.
Clearance Requirements:
  • Active Top Secret (TS) clearance is required; TS/SCI clearance is preferred.
Qualifications:
  • Bachelor’s degree in Business Administration, Management, Communications, or a related field is required; relevant experience or certifications may substitute for a degree.
  • 10+ years of high-level administrative experience supporting senior executives in government, military, or large-scale corporate environments.
  • 6+ years of experience in calendar management, scheduling, and prioritization of executive-level tasks.
  • 5+ years of experience managing workflows in task management systems such as CATMS, SharePoint, or equivalent platforms.
  • 3+ years of direct executive support experience in a high-visibility, mission-critical environment.
  • Strong expertise in task tracking, correspondence management, and executive scheduling.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PDF portfolio management.
