Position DescriptionThe Administrative Specialist II provides on‑site administrative support at Quantico/Stafford, Virginia in support of MARCORSYSCOM. This role is responsible for a broad range of administrative functions including correspondence management, scheduling, records maintenance, and organizational support to ensure the efficient day‑to‑day operations of the assigned organization.
Essential Position Functions- Prepare, review, track and file official correspondence in support of MARCORSYSCOM.
- Prepare official messages using AMHS in support of MARCORSYSCOM organizations.
- Review Defense Travel System authorizations and vouchers upon submission by Government travelers from MARCORSYSCOM organizations.
- Provide technical assistance to the user base.
- Update and maintain personnel rosters on a monthly basis.
- Coordinate and schedule meetings.
- Prepare agendas, meeting minutes, and presentation materials for each meeting attendee.
- Upload documentation to the SharePoint portal.
- Manage organizational tracking databases.
- Submit morning reports via Marine‑On‑Line.
- Inventory, stock, and organize office supplies on a monthly basis or as required.
- Prepare new hire welcome aboard packages and process new hire joins into the organization.
- Develop and maintain email distribution lists via the Marine Corps global outlook mailbox on a daily basis and as required.
- Forward all hands email distribution notifications within ten minutes of receipt.
- Prepare and maintain an organizational chart and table of organization, updated monthly or as required, to include employee name, competency, position assigned, line number, phone number, seat assignment, IT asset identification, core competency, and other tailored information as required.
- Other tasks as directed by the assigned LFS Program Manager.
The Administrative Specialist II demonstrates strong organizational and administrative skills with the ability to manage multiple priorities in a fast‑paced environment. This role requires intermediate‑to‑advanced proficiency in Microsoft Office products (Word, PowerPoint, Excel) and SharePoint, experience with Enterprise Task Management Software Solution (ETMS2), and the ability to learn new administrative software quickly. The ideal candidate is a self‑starter who exercises sound judgment, maintains accuracy across all deliverables, proactively anticipates organizational needs, and communicates professionally at all levels.
Physical Requirements for the roleThis position is primarily sedentary and requires the ability to work at a computer for extended periods, including viewing monitors, using keyboards, and operating standard office equipment. The role may require occasional standing, walking, and minimal lifting (up to 10 pounds).

Work EnvironmentThe work environment for this position is primarily a professional office or remote setting with standard business conditions. The role involves regular use of computers and related technology in a low‑noise environment and frequent collaboration with technical and non‑technical team members. Work is generally performed during normal business hours with minimal physical risk, and the environment supports adherence to established cybersecurity, safety, and organizational policies.

Must be able to obtain a Secret clearance.
Travel RequirementsMinimal travel is anticipated for this role. Travel requirements, if any, will be determined based on mission needs.
CompensationSalary will be determined based on the individual’s education and experience level.
