This role is for a client of Gallagher Recruiting Services.
Position SummaryThe Human Resources Coordinator supports the daily operations of the HR department by assisting with recruitment, onboarding, employee records, benefits administration, and general HR processes. This role serves as a key point of contact for employees and helps ensure HR practices are efficient, compliant, and employee-focused.
Key Responsibilities Recruitment & Onboarding- Coordinate interview scheduling and communicate with candidates and hiring managers
- Assist with applicant tracking and follow up
- Prepare offer letters and onboarding materials and communicate with candidates throughout the pre-boarding and onboarding processes.
- Facilitate new hire onboarding, orientation, and documentation.
- Partner with hiring manager to ensure a smooth and structured onboarding on the business side.
- Maintain accurate employee records and HR systems (HRIS)
- Process employee status changes (new hires, promotions, transfers, terminations)
- Process background checks, I-9 verification, and compliance documentation
- Assist with audits and a variety of ad hoc reporting as needed
- Serve as a point of contact for employee benefits and payroll inquiries
- Assist with benefits enrollment, changes, and open enrollment activities
- Assist with administration of retirement benefits
- Coordinate with payroll team to ensure accurate employee data
- Process verifications of employment and unemployment
- Respond to general HR inquiries in a professional and confidential manner
- Assist with employee communications, engagement initiatives, and events
- Support employee recognition programs
- Assist with Wellness program communications
- Assist with ensuring compliance with federal, state, and local labor laws
- Support HR projects, policy updates, and process improvements
- Maintain confidentiality and handle sensitive information with discretion
- Support planning and execution of Summer Internship program
- Coordinate internship recruitment, including postings, scheduling, and communications
- Facilitate intern onboarding, orientation, and program logistics
- Serve as a primary point of contact for interns throughout the program
- Track attendance, milestones, evaluations, and program completion
- Support intern-to-full-time conversion processes and offer coordination
- Assist with intern engagement events, learning sessions, and presentations
- Support campus relations, career fairs, and early-career branding initiatives
- Prepare reports and metrics related to early-career program outcomes
- Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience)
- 2+ years of experience in an HR or administrative role preferred
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); AI tools, ADP experience strongly desired
- Ability to handle confidential information with professionalism
- Strong interpersonal skills
- Problem-solving mindset
- Ability to manage multiple priorities
- Team-oriented with a proactive approach
