Position Overview
Conversive is looking for a proactive, high-integrity Corporate Services & Procurement Manager to own end-to-end corporate services operations and drive strong commercial outcomes across vendors. This role manages facilities, workplace services, travel, events, security, and employee transport—while also leading vendor sourcing, rate negotiation, contracting, renewals, and spend governance .
We are specifically looking for someone who treats the company's budgets with the same care as they would manage expenses at home— sharp on pricing, disciplined on waste, and uncompromising on ethics .
Key Responsibilities
Procurement, Commercials & Vendor Management (Primary Accountability)
Own strategic sourcing and procurement for corporate services: facilities/housekeeping, security, employee transport, travel, events, office supplies/equipment, pantry, internet/telecom, and select IT/SaaS renewals (in partnership with IT & Finance).
Build and maintain rate cards and benchmarks for key categories (cabs, hotels, travel platforms, housekeeping, security, courier/logistics, etc.).
Drive competitive bidding (RFPs / multi-quote processes) and maintain clear documentation of vendor selection rationale.
Negotiate and finalise contracts, SLAs, payment terms, credit periods, penalties, and renewal clauses to optimize total cost and service quality.
Run periodic vendor performance reviews (monthly/quarterly), enforce SLAs, and replace vendors when value deteriorates.
Identify and deliver measurable cost-saving initiatives through consolidation, bundling, standardisation, and policy enforcement.
Budgeting, Controls & Governance (Integrity-Focused)
Own budgets for all corporate services categories; track monthly variance , forecast spends, and highlight risks early.
Ensure zero leakage through strong process discipline: approvals, PO/WO creation, invoice verification, service acceptance checks, and documentation trails.
Implement and maintain spend governance : thresholds, approval matrix, vendor onboarding checks, and periodic audits/reviews.
Uphold strict ethical standards: no gifts/kickbacks , conflict-of-interest disclosure, and full compliance with company Code of Conduct and anti-bribery expectations.
Workplace & Facilities Operations
Manage end-to-end facilities operations: maintenance, housekeeping, repairs, utilities, pantry, and overall workplace experience.
Ensure compliance with safety, health, and statutory requirements; maintain readiness for audits and inspections.
Coordinate office assets and inventory: procurement, tagging, allocation, and lifecycle management.
Travel, Events & Logistics
Own domestic/international travel operations: policy adherence, approvals, bookings, and cost optimization.
Create and manage corporate tie-ups with hotels and travel providers; negotiate dynamic pricing, cancellation terms, and service guarantees.
Plan and execute company events, team off sites, and celebrations with strong vendor control, budgets, and operational excellence.
Manage logistics for courier/shipment needs and internal moves to support onsite and remote teams.
Security & Employee Transport
Manage security operations: access control, visitor management, CCTV oversight, emergency preparedness, and vendor coordination.
Own employee transport: vendor management, route optimization, scheduling, and service-quality monitoring to improve safety and punctuality.
Employee Support & Service Orientation
Act as the primary point of contact for employee queries related to workplace services.
Create simple SOPs and communication that improve clarity and reduce repeated escalations.
Success Measures (What 'Good' Looks Like)
Savings delivered vs baseline across major categories (quarterly/annual).
Budget variance control and improved forecasting accuracy.
Strong SLA adherence and improved employee experience scores for workplace services.
Audit-ready documentation and clean processes with minimal exceptions.
Demonstrated integrity and transparency in all vendor engagements.
