Provides administrative support in a variety of functions to an individual, team, department, or another group in an organization. Collects, reviews, and analyzes data and prepares reports, charts, budgets, and other presentation materials. Responds to or routes routine inquiries from external or internal sources with own correspondence or other messaging. Schedules and coordinates meetings, travel, and other group activities. May be responsible for creating reports and distributing on a regular schedule.
Has advanced word processing, spreadsheet, and graphics software skills.
Responsibilities:
Manage executive and senior manager's calendar(s), travel, meetings, and &zwnjdaily schedules.
Partner across organizational boundaries to deliver outcomes with other business partners.
Plan, organize, and execute team activities such as staff meetings, all-hands meetings, offsite meetings, and team social events.
Schedule cost-effective air/hotel/ground transportation and create detailed travel itineraries both domestic and international.
Coordinate with in-house travel agents and manage international travel processes.
Submit expense reports in a timely fashion.
Interact cross-functionally with departments, employees, vendors, or customers in need of meeting with department leaders.
Provide timely response to emails, voicemails, and written correspondence on behalf of the manager.
Maintain organizational charts, email distribution lists, and create accurate databases to track departmental information.
Plan and orchestrate work to help ensure that priorities are met, organizational goals are achieved, and best practices are upheld.
Support logistics management and coordination at the site for any site-wide activities and engagement.
Collaborate with designers and developers to align written content with the brand.
Requirements:
Minimum of 5 years working as an administrative assistant, preferably supporting senior staff members.
Required Skills:
Ability to exercise discretion and handle highly confidential information with 100% integrity.
Self-starter who can operate independently and move quickly from one task to another creative problem solver.
Anticipatory&mdashmust be able to plan ahead and identify unforeseen needs.
Adaptability&mdash
Embrace change and pivot when changes arise.
Proven time management skills with the ability to prioritize and handle multiple tasks and work in a fast-paced environment.
Excellent verbal and written communication skills, including the ability to communicate with all levels of the organization.
Proficient in a suite of standard office software and operation of office equipment.
Fundamental project management experience, including development of basic project plans and successful execution.
Advanced Outlook calendar management is critical.
Ability to format high-level presentations and applications like sheets and excel.
Demonstrated problem-solving skills.
Preferred
Skills:
Strong familiarity with technology preferred.
