Job Title:
Executive Assistant to the Director
Role Overview
The Executive Assistant to the Director will provide high-level administrative, organizational, and coordination support to ensure the smooth functioning of the Director's daily operations. The role requires strong communication skills, discretion, and the ability to manage multiple priorities efficiently while acting as a key liaison between the Director, internal teams, and external stakeholders.
Key Responsibilities
Executive & Schedule Management
Manage the Director's calendar, meetings, appointments, and reminders.
Schedule and coordinate internal and external meetings efficiently.
Track follow-ups and ensure timely completion of assigned tasks.
Travel and Logistics Coordination.
· Arrange end-to-end travel for the Director and employees, including visas, flights, accommodation, and itineraries.
· Coordinate travel schedules to ensure cost-effectiveness and efficiency.
Meeting Management
· Attend meetings as required and prepare accurate Minutes of Meeting (MoM).
· Track action items and follow up with stakeholders/teams to ensure closure.
Communication and Coordination
Act as the primary point of contact between the Director, internal departments, consultants, vendors, and clients.
Handle correspondence, emails, and calls with professionalism and confidentiality.
Coordinate with internal teams for updates, reports, and project-related information.
Office and Administrative support
· Ensure the Director's office is well-organized and professionally maintained.
· Provide day-to-day administrative and operational support to the Director.
· Support HR and administrative activities as required.
Confidential & Professional Support
· Handle sensitive information with the highest level of discretion and integrity.
Key Skills & Competencies
· Strong organizational and time-management skills
· Excellent verbal and written communication
· High level of discretion and confidentiality
· Proficiency in MS Office (Word, Excel, PowerPoint)
· Ability to multitask and work in a fast-paced environment
