Job Summary:

We are seeking a highly organized and proactive Administration Executive to manage international travel, visa processing, corporate events and key administrative operations for our company. As part of a global organization with frequent overseas travel and high-profile industry events, this role demands strong coordination skills, attention to detail, and the ability to interact confidently with senior stakeholders.

Key Responsibilities:

Visa and Travel
Manage complete visa processing for international travelers, including documentation, scheduling, and liaison with embassies/consultants.
Coordinate global travel arrangements—flights, hotel bookings, local transport, insurance, itineraries, etc.
Maintain travel trackers, approval flows, and cost reports while ensuring compliance with company travel policies.
Serve as the key contact for travel partners and address travel-related contingencies promptly.
Stay updated with country-specific visa guidelines and travel advisory changes.
Events
Plan and execute internal and external corporate events, conferences, leadership visits, town halls, and industry engagements.
Manage end-to-end logistics including venue identification, vendor coordination, AV setup, branding, hospitality, and on-site support.
Handle interactions with senior leaders, visiting executives, and high-profile industry guests.
Prepare event budgets, manage vendor payments, and document post-event reports.
Office Administration, Purchase and Vendor Management
Identify, evaluate, and onboard vendors for office supplies, facilities, travel services, event support, and administrative requirements.
Manage procurement processes including quotations, negotiations, purchase orders, and vendor contracts.
Monitor inventory of office supplies, stationery, pantry materials, and ensure timely replenishment.
Oversee day-to-day office operations including housekeeping, security, maintenance, and facility upkeep.
Ensure timely processing of vendor invoices and maintain updated vendor records.
Implement cost-effective administrative solutions while ensuring quality and service standards.
Stakeholder and Operational Support
Coordinate hospitality arrangements for global visitors including accommodations, logistics, and office support.
Collaborate with HR, Finance, IT, and Facilities teams for smooth cross-functional operations.
Maintain administrative documentation, travel archives, and compliance records.
Ensure a professional and welcoming work environment aligned with organizational standards.

Key Requirements:

Bachelor's degree; certification in administration, event management, travel operations, or facilities management is a plus.
4–8 years of experience  in administration, travel coordination, visa handling, procurement, or corporate event management.
Strong vendor identification, negotiation, and contract management skills.
Excellent communication and stakeholder-engagement capabilities.
Strong multitasking skills with attention to detail and a proactive approach to problem-solving.
Proficiency in MS Office Suite and familiarity with procurement or travel management tools.
