Job OverviewThis full‑time position will work Monday through Friday, 8:00 p.m. to 5:00 p.m. with varying hours and days off, which may include evening hours, depending on the business needs of the college.

- Deliver outstanding customer service to internal and external clients, addressing complaints, messages, and inquiries promptly and courteously.
- Welcome visitors to the suite area of Davis Academic Building AB‑250, providing information and guiding them to the appropriate contacts.
- Manage the main telephone line in AB‑250 by fielding inquiries, directing callers, recording and forwarding messages, and delivering emergency messages.
- Deliver and pick up items on campus as needed.
- Stay informed about college policies, procedures, forms, resources, and services, and respond promptly to information requests via telephone, mail, email, or in‑person.
- Create and format accurate information by typing and editing memos, spreadsheets, flyers, bulletins, letters, emails, and handling bulk mailings.
- Copy, distribute, and organize records and documents, including meeting agendas, minutes, memos, letters, and internal documents; ensure electronic files are maintained appropriately.
- Assist in maintaining and updating distribution, contact, and mailing lists; attend meetings, document discussions, prepare minutes, and facilitate Web Ex/Zoom meetings or Official Functions as necessary.
- Support new faculty and instructors with essential tasks such as processing key requests, computer access requests, and coordinating the ordering of name tags and business cards.
- Assist students and instructors with course registrations by entering registration data into Banner and collaborating with campus resources to address any issues.
- Assist in notifying students of course cancellations and dropping students from canceled classes; post notifications for class cancellations due to instructor illness or similar situations.
- Maintain an inventory of office and classroom supplies and equipment; purchase and store supplies as needed.
- Manage office technology including printers, copiers, and telephone systems; procure consumables and initiate repair and maintenance requests.
- Oversee maintenance of the physical spaces in AB‑250 and AB‑280 common areas, and coordinate Facilities or IT work orders.
- Manage the adjunct office (AB‑250, the Adjunctorium), overseeing supply orders, monitoring technology and facility requirements, and ensuring operational efficiency.
- Participate in faculty standing committees, potentially serving as a clerical assistant or task‑force member.
- Engage on search and screen committees; support events, fundraising campaigns, commencement activities, and similar initiatives; assist with training and supervising student employees.
- Utilize Microsoft Office to assist in scheduling appointments and meetings for faculty.
- Maintain the order of the faculty/staff mailroom, sorting and distributing incoming mail, and facilitating outgoing mail and bulk mailings.
- Monitor division deadlines and important dates.
- Provide backup support and coverage in the AB‑230 office site as needed.
