Office Manager - part-time/28 hrs per week

The EPP Office Manager provides support to the EPP Director and Associate Director and oversees student employees within the EPP Office.

What You'll Do In This Position
  • Help the directors' schedule, calendar, and travel arrangements as needed
  • Schedule EPP trainings and events (e.g., training meetings, recruitments) and take, finalize, and distribute EPP meeting minutes
  • Assist in compilation and completion of required reports (e.g., CAEP Annual Reports, USBE Annual Reports)
  • Have informational background and knowledge of university and office procedures to support helping faculty, students or other persons contacting the office
  • Assist in the accreditation process
  • Coordinate and prepare student employees work schedules
  • Plan and track student goals each semester
Office Responsibilities
  • Train student employees on essential functions in coordination with Associate Director
  • Manage student employee concerns, training progress, work schedule changes, and time‑off requests
  • Lead bi‑weekly team meetings
  • Support the Educator and Educator‑Grad systems and log Service Now tickets as needed
  • Develop and maintain office manuals and handbooks (e.g., Educator manual, EPP Policy handbook, EPP Office handbook)
  • Plan & execute office events (e.g., Fall and Spring trainings, World Teacher Day, Networking night)
  • Maintain a clean and tidy office environment
Manage Administrative/Financial Functions for the Office
  • Maintain and file departmental financial records
  • Organize and maintain department electronic and print files, including records of all projects, financial expenditures, etc.
  • Reconcile expenses on Workday by creating expense reports with receipts from purchases
  • Assist in compiling office annual reports
  • Purchase and maintain stock of office supplies
  • Manage Workday student hiring, pay raises, and training
  • Submit requisitions for annual CAEP fees
Education/Experience What qualifies you for this role Minimum Required
  • High school diploma
  • 2-3 years of office management experience
Preferred
  • Experience with Canva, Camtasia, Brightspot, and Workday
  • Understanding of and compliance with FERPA regulations
Required
  • Professional demeanor, confidentiality, ability to communicate effectively and work independently
  • Advanced computer skills in Microsoft Office, including Excel, Outlook, Word, and Power Point
  • Ability to work under pressure and prioritize tasks and responsibilities
  • Willingness to learn, ability to work as a team member and independently
  • Excellent phone and public relations skills
  • Problem‑solving abilities
  • Proficient in financial and office management skills
  • Enthusiastic, positive, friendly, and willing to be an example and mentor to student staff
  • Detail‑oriented, consistent, and accurate
  • Self‑starter
Preferred
  • Accounting or financial reporting knowledge
