Rental Intake & Processing Assistant – Provo
Compensation: $ per hour, depending on experience. Full-time position (up to 40 hours per week).
Community Action Services and Food Bank (CASFB) is dedicated to fostering self‑reliance for individuals, families, and the community. Under the direction of the Housing Director and the supervision of the Lead Rental Manager, the Rental Intake & Processing Assistant supports low‑income households in Utah County who are seeking rental, deposit, and utility assistance. This role is responsible for both intake and processing functions, from welcoming and assisting clients through the application process to coordinating payments and maintaining accurate records.
A successful candidate will develop a strong working knowledge of all CASFB rental assistance programs and funding requirements while providing professional, compassionate service to clients.
Office work is completed at 815 S Freedom Blvd, Provo.
Key Responsibilities- Serve as the first point of contact for individuals and families seeking rental assistance.
- Conduct intake interviews in person or over the phone; assist clients in completing applications.
- Collect and verify required documentation, including identification, leases, eviction notices, and income verification.
- Communicate clearly and professionally with clients regarding eligibility, next steps, and documentation needs.
- Maintain thorough understanding of CASFB rental assistance programs, eligibility criteria, and funding sources.
- Review application files for accuracy, completeness, and appropriate program placement.
- Prepare approval and denial notices in accordance with program requirements.
- Generate payment vouchers and coordinate check processing and distribution.
- Coordinate property inspections and follow up on required landlord repairs, as applicable.
- Maintain accurate and timely records in HMIS, CAP
60, and other required data systems. - Collaborate with case managers to support client action plans and promote long‑term housing stability.
- Communicate with landlords, attorneys, and community service providers on behalf of clients.
- Maintain organized digital and physical files to ensure compliance with funding and audit requirements.
- Participate in team meetings, trainings, outreach activities, and special projects.
- Perform other duties as assigned by the Lead Rental Manager, Housing Director, or agency leadership.
- Associate's degree or equivalent combination of education and relevant work experience.
- Experience with rental assistance, housing programs, or loan processing preferred.
- Strong organizational, communication, and data entry skills.
- Ability to handle sensitive, confidential, or high‑stress situations with professionalism and compassion.
- Knowledge of community resources and housing‑related services preferred.
- Bilingual (English/Spanish) strongly preferred.
- Reliable transportation and flexibility to assist with occasional outreach or special projects.
