SUMMARY
Reporting to the Manager of Nursing Resource Management, manages all aspects of staffing, scheduling, and payroll for all levels of staff in the nursing department. Arranges adequate coverage for each shift and proactively plans for future shifts. Enters employee information and work schedules into the computerized resource management system interfacing with payroll time and attendance system. Reconciles scheduled hours to worked and non-worked hours to assure accuracy.
Performs a variety of complex clerical functions requiring judgment and knowledge of department systems and operations. - Reviews nursing department staffing to ensure all work shifts are filled and covered.
- Arranges coverage utilizing existing and potential resources to maintain cost-effective solutions and appropriate staffing ratios.
- Understands nursing department staffing policies and guidelines.
- Utilizes the computerized scheduling system and manual reports to track, schedule, and record staff assignments and attendance activities.
- Updates employee information (e.g., address, hours, skill, certifications) and generates management reports in the computerized resource management system.
- Awards extra shifts based on guidelines in the computerized scheduling system.
- Collaborates closely with stakeholders to assist with managing payroll activities.
- Communicates with various nurse leaders to determine additional staffing needs and to address issues requiring intervention.
- Confers with nursing managers concerning per-diem and/or float qualification requirements.
- Ensures department scope of services meets internal and external customer needs and expectations.
- Demonstrates flexibility and innovation to improve operations, enhance revenue, effectiveness, productivity, responsiveness, and other key indicators.
- Responds to changing workload during crisis and emergency situations.
- Exhibits effective decision-making skills.
- Monitors staffing to optimize scheduled time and overtime for maximum productivity.
- Assists with cost containment by encouraging use of benefit time during periods of low census and/or low workload.
- Ensures security and confidential treatment of sensitive and private information.
- Reconciles revenue charges for nursing department and follows up with nursing leadership.
- Controls timely and appropriate flow of information throughout the department and organization; keeps stakeholders informed.
- Basic Knowledge:
High school or General Equivalency Diploma; proven ability to handle stressful situations and multiple demands effectively; excellent communication and customer service skills; multi-task complex clerical duties; organizational skills for departmental files and records; familiarity with personal computer and mainframe-based system applications; proficient typing and computer keyboard skills; interpersonal skills for interacting with hospital personnel; analytical ability to arrange schedule considering multiple criteria and priorities. - Experience:
2-3 years job-related experience preferred; familiar with most or all departmental operations and regulations associated with specialized functions.
Pay Range: $21.61-$35.66
