SUMMARY

Reports to the Ambulatory Clinical Manager and/or Practice Manager or other assigned supervisory personnel and under general supervision of the attending Licensed Independent Practitioner, functioning in accordance with established policies and procedures in an ambulatory setting. All essential functions performed in this position reflect the age‑specific needs of the geriatric, adult, adolescent, and pediatric patient, fostering patient and family centered care and nursing services in accordance with Brown University Health’s mission, vision, and values while considering all developmental stages and cultural patterns.

RESPONSIBILITIES
  • Works effectively and respectfully at their highest capabilities and training.
  • Follows practice, clinic, or office workflow protocols to maximize quality and efficiency.
  • Performs pre‑visit planning by reviewing and updating patient records prior to appointments, determining needed services based on practice protocols, and communicating point‑of‑care reminders to providers via the electronic medical record.
  • Greets patients, performs registration and check‑in functions, answers phones, schedules appointments, obtains referrals and authorizations, processes forms, and performs discharge processes.
  • Oversees patient financial processes, ensuring patient payments are obtained at time of service and properly processed.
  • Verifies that all necessary information—demographics, referrals, authorizations, billing codes, diagnoses—is complete and accurate.
  • Provides clerical support for the practice and serves as a resource to new employees regarding department policies and procedures.
  • Prepares patients for examination and treatment according to clinic workflow, escorting them from the waiting area to the exam room, taking vital signs, recording weight, entering chief complaint, medication reconciliation, histories, and other services into the chart, and recording pain scores and questionnaire results.
  • Ensures effective patient flow throughout the practice, clinic, and office.
  • Reviews health maintenance and chronic illness services, performing/ordering them per protocols and standing orders.
  • Performs point‑of‑care testing—blood pressure, EKG, pulse oximetry, Hgb A1c, glucose, urinalysis, urine hCG, rapid strep test, and other tests.
  • Records allergy information, medications, medical, surgical, and family histories in the patient chart and initiates pharmacy benefits verification.
  • Assists physicians with physical examinations, performing all procedures using aseptic techniques and following standard procedures.
  • Administers vaccines and places PPDs per practice/clinic protocol.
  • Completes appropriate follow‑up work after visits, ensuring all labs and specimens are labeled, recorded, and sent to the lab; follows up to ensure lab results are entered in the EMR; tracks orders and results; contacts patients for outreach and reminders for labs or orders; updates EMR with status; reports abnormal results to physician or nurse immediately.
  • Follows up on referrals for specialty care and/or other services, tracking consult reports and ensuring the EMR is updated accordingly; contacts patients for outreach and reminders for referrals.
  • Checks for prescription refills pending.
  • Ensures examination rooms are cleaned between each patient and set‑up appropriately for the next appointment.
  • Thoroughly explains programs, procedures, and correct preparation for various tests and exams; provides patient education regarding the importance of coordination of care and prudent use of emergency rooms; documents identified barriers.
  • Schedules tests and follow‑up appointments, pre‑registers patients for the next visit, verifies demographics and insurance information, and obtains prior authorizations as needed.
