SUMMARY

Reporting to the Manager of Nursing Resource Management, manages all aspects of staffing, scheduling, and payroll for all levels of staff in the nursing department. Arranges adequate coverage for each shift and proactively for future shifts. Enters employee information and work schedules and changes into a computerized resource management system interfacing to payroll time and attendance system. Reconciles scheduled hours to worked and non‑worked hours utilizing the computerized time and attendance system to assure accuracy.

Performs a variety of complex clerical functions, which requires the use of judgement and knowledge of the department’s systems and operations. RESPONSIBILITIES
  • Review nursing department staffing to ensure all work shifts are filled/covered following established criteria.
  • Arrange coverage using existing and potential resources, ensuring cost‑effective solutions and appropriate staffing ratios.
  • Understand nursing department staffing policies and guidelines.
  • Use the computerized scheduling system and manual reports to track, schedule and record staff assignments and attendance activities.
  • Update employee information (e.g., address, hours, skill, certifications), verify data, and generate various management reports.
  • Award extra shifts based on guidelines in the computerized scheduling system.
  • Collaborate closely with stakeholders to assist with managing payroll activities.
  • Communicate with nurse leaders to determine additional staffing needs and address issues requiring intervention.
  • Confer with nursing managers concerning per‑diem and/or float qualification requirements.
  • Ensure the department’s scope of services meets internal and external customers’ needs and expectations.
  • Demonstrate flexibility and innovation to improve operations, revenue, effectiveness, productivity, responsiveness, and key indicators.
  • Provide direction on changing workload during crisis and emergency situations.
  • Exhibit effective decision‑making skills.
  • Monitor staffing to optimize scheduled time and overtime for maximum productivity.
  • Assist with cost containment by encouraging use of benefit time during periods of low census or low workload.
  • Ensure security and confidential treatment of sensitive and private information.
  • Reconcile revenue charges for the nursing department and follow up with nursing leadership.
  • Control timely and appropriate flow of information throughout the department and the organization, keeping stakeholders informed.
MINIMUM QUALIFICATIONS BASIC KNOWLEDGE
  • High school or General Equivalency Diploma.
  • Ability to handle stressful situations and multiple demands effectively; strong organizational and problem‑solving skills.
  • Excellent communication and customer service skills.
  • Multi‑tasking ability for complex clerical duties.
  • Organizational skills to maintain departmental files, records, and statistical data.
  • Familiarity with personal computer and mainframe‑based system applications.
  • Proficient typing and computer keyboard skills.
  • Interpersonal skills to interact effectively with a variety of hospital personnel.
  • Analytical ability to arrange schedule considering multiple criteria and priorities.
EXPERIENCE
  • 2–3 years of job‑related experience preferred; familiarity with departmental operations and related regulations.
WORK ENVIRONMENT &

PHYSICAL REQUIREMENTS
  • Fast‑paced office environment with urgent conditions related to staffing schedule changes.
  • Must perform frequent fine motor skills.
INDEPENDENT ACTION

Follows established policies and procedures under general supervision. Refers specific complex problems to the supervisor for clarification of departmental policies and procedures.

PAY RANGE

$22.04–$36.37
