Debbie's Staffing is currently hiring for a Bilingual Administrative Coordinator in our Providence, RI location!
Schedule:
Monday-Friday 8am-5pm
Pay: $18.00 per hour,Temp-Hire
Summary/Objective
Provide important administrative support to the team, ensuring smooth daily operations and efficient delivery of services to our clients.
Essential Functions, Responsibilities, and Skills & Abilities
- Serve as the first point of contact for clients, answering inquiries and providing information about our services.
- Provide general administrative support such as answering phone calls, handling correspondence, and managing emails.
- Assist applicants with online applications. Work closely with staffing specialists following existing processes and procedures for efficiently onboarding candidates and processing correct paperwork.
- Assist in scheduling client appointments and coordinating interviews.
- Assist with the preparation and editing of documents.
- Handle office supply inventory and place orders when necessary.
- Assist with filing, scanning, and organizing documents.
- Maintain and update our internal database with accurate candidate and client information.
- Assist with data entry, including entering candidate profiles and updating job postings.
- May assist recruiters with sourcing candidates through various channels, such as online job boards and social media platforms.
- Collaborate with team members to ensure smooth office operations.
- Coordinate office events and meetings.
- Assist with office maintenance and liaise with vendors for repairs and maintenance requests.
- Collaborate with the manager to devise and implement strategic administrative improvements.
- Build strong associate and client relationships according to the company's mission, values, and vision. Maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees.
- Assist with timekeeping, payroll processing, preparation of reports, and other administrative functions.
- Adhere to branch operations, company policies, and procedures.
- Perform other duties as assigned.
High school diploma or equivalent.
Additional Eligibility
Qualifications:
- Proven experience as an administrative assistant or in a similar role.
- Excellent written and verbal communication skills.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills with the ability to multitask effectively.
- Attention to detail and high accuracy in data entry and record-keeping.
- Ability to maintain confidentiality and handle sensitive information.
- Customer service-oriented mindset with a friendly and professional demeanor.
- Familiarity with applicant tracking systems (ATS) and other recruitment software is a plus.
- Knowledge of the employment industry or previous experience in an employment agency is advantageous.
- Bilingual in English and Spanish is required
