Overview

Reporting to the Head, Digital Services and Records Management, the Records Manager will implement and maintain the University's Records Management Program, which assists Brown University units in managing their records and ensuring practices meet Brown's academic, administrative, and historical obligations. The Records Management Program is located within the University Archives at the Brown University Library. The Records Manager will support the efficient handling, retention, and disposition of institutional records in compliance with applicable laws, regulations, policies, and contracts.

In collaboration with the Head of Digital Services and Records Management, this position will create and/or update key records management functions, workflows, and documentation including the Records Retention Schedule.

Responsibilities
  • Maintain and enhance the Records Management Program to ensure compliance with the University Records Management Policy across administrative and academic units.
  • Develop strong, collaborative relationships across the campus and partner with Compliance, the Office of General Counsel, and the Office of Information Technology to advance the program.
  • Oversee the off-site records storage facility, including reviewing storage requests, managing unit record retrievals, and identifying records eligible for disposition.
  • Regularly meet with University units to ensure their record practices comply with the Records Management Policy; consult on the maintenance, storage, and legal disposition of physical and digital records.
  • Plan and implement a comprehensive training program for unit record/data stewards and the broader Brown community; present to administrative and academic units and cross-functional groups on the importance of records management.
  • Identify institutional records of historical value and facilitate transfer of records to the University Archives; collaborate with Archives staff to identify underrepresented areas and conduct outreach to increase collections.
Education and Experience
  • ALA-accredited master's degree in library or information science, or an equivalent combination of education and experience.
  • Minimum of 3 years of relevant experience in an academic library, corporate or governmental library, school library or other cultural heritage setting, or educational institution in Records Management or University Archives.
  • Preferred: active Certified Records Analyst or Certified Records Manager certification.
  • Experience working with stakeholders on records management projects, archival collections, or related work applying to records management and archival practices and standards using current technologies and software.
  • Familiarity with archival standards, theory, and practice.
  • Experience with records keeping systems, the records lifecycle, and ISO 15489.
  • Working knowledge of electronic record-keeping systems (electronic imaging, email systems, content management systems, personal digital archiving).
  • Experience presenting to and engaging with large groups.
  • Ability to establish and maintain cooperative working relationships; strong planning, decision-making, and problem-solving skills; excellent verbal and written communication; and strong organizational, time, and project management skills.
  • Demonstrated ability to work cooperatively in a dynamic, team setting and to balance multiple competing priorities.
