Overview

The legal secretary provides on-site administrative support for the Brown University Health law department. The legal secretary is highly responsive, effectively and efficiently managing their workload while exercising a high level of discretion when handling sensitive and confidential information.

Principal Duties And Responsibilities
  • Preparing documents quickly and accurately; proofreading own and others  work; answering phones promptly with a friendly, professional tone; gathering information sufficient to prepare helpful, timely, accurate messages; promptly performing administrative tasks.
  • Manages calendars for attorneys, ensuring all details are anticipated, arranged and well-coordinated, including meeting logistics (AV requirements, catering, and other special needs) and preparation of meeting minutes.
  • Preparing or coordinating copy and print jobs, reviewing for accuracy; coordinating mail/shipping needs.
  • Maintaining accurate and well-organized physical and electronic files.
  • Creating positive outcomes by assuring follow-through and being accountable; embracing change; and handling other tasks related to managing attorneys’ client relationships.
  • Displaying a cooperative spirit and fostering a positive work environment; working collaboratively as part of the support team; proactively backing up other department members; ensuring accuracy and completeness of all work being produced by a team of which the legal assistant is a part; assisting co-workers with overflow.
  • Works independently with confidence, knows when to reach out for supervision; conveys a poised, positive, professional image to attorneys, staff and visitors; takes pride in being part of Brown University Health and its law department.
  • Embraces new technical solutions and incorporates them into new and existing processes; attends available training to maintain required skill level of software applications.
  • Provides information or resolves matters according to established policies, with an ability to draw on knowledge of Brown University Health’s departments, hospitals and relationships with outside agencies and organizations.
  • May help monitor budget, review purchase requisitions and maintain accurate financial records on departmental expenses.
  • May assume regular responsibility for recurring projects or programs requiring knowledge of department or corporate operations and the use of independent judgment.
  • Maintain office supplies, reordering in line with needs and budgeted allowances.
BASICS:
Knowledge and Experience
  • At least 2 years of experience as a Legal Secretary or in a similar role within a law firm or legal department of a corporation.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook (email and calendar), One Note, Teams, and One Drive. Proficient in Adobe.
  • Notary Public certification preferred
Skills
  • Excellent communication skills, both verbal and written.
  • Attention to detail with the ability to handle difficult situations and meet varying deadlines.
  • High level of discretion and a detail-oriented approach when handling sensitive information.
  • Interpersonal skills with the ability to work with personnel at all levels.
  • Strong proofreading and editing skills.
  • Ability to work independently with minimal supervision.
  • Demonstrated ability to handle multiple tasks concurrently.
  • Willingness to learn new skills

Physical Requirements

Work is performed in a typical office environment.

Independent Action

Performs independently within department policies and procedures; refer specific problems to supervisor where clarification of departmental policies and procedures may be required.

$23.81-$39.28
