Under general supervision, performs entry‑level accounting support duties, including routine posting and adjusting to the general ledger, processing claims and invoices, and reviewing transactions for completeness, accuracy, and compliance with state and federal laws and regulations. This position, designated Accounting Tech II, is the trustee clerk responsible for all inmate monies: preparing daily deposits, issuing checks for inmate money transfers, entering money orders, and operating the rapid release and debit card system.
Daily receipts are sent to units, files are kept orderly for auditing, accounts are balanced, and weekly and monthly reports are provided to units. The role also supports purchasing and accounts payable as required. A 12‑hour security shift per week is required.
- In accordance with SPB 3088 effective 10/7/23, $5,000 will be added to the minimum starting rate of pay for all classifications within a Critical Vacancy Pay Supplemental Facility (CVPF). CVPFs are listed in the original posting.
- Employees in this classification shall receive an annual base building pay differential of $250 after completing one year of service.
- If an employee is hired into a CVPF and leaves the facility, the additional pay differential of $5,000 is removed from their salary, unless transferring to another CVPF.
- Perform routine posting and adjusting to the general ledger.
- Process claims and invoices.
- Review transactions for completeness, accuracy, and compliance.
- Prepare daily deposits and issue checks for inmate money transfers.
- Enter all incoming money orders and manage the rapid release and debit card system.
- Send daily receipts to units and maintain orderly files for auditing.
- Balance accounts daily and provide weekly and monthly reports to units.
- Maintain spreadsheets to verify balances, including court orders, clerk orders, restitution, and child support.
- Keep supervisors updated of events or errors.
- Assist with purchasing and accounts payable as needed.
- Education:
Graduation from a standard four‑year high school or equivalent. - Experience:
Two years of full‑time (or equivalent part‑time) paid bookkeeping, accounting, or related experience. - Substitution:
Successful completion of college‑level accounting courses or related business or vocational training may be substituted for experience per established formulas.
