Key Responsibilities
Strategic Project Coordination & Scheduling
  • Design and implement meeting cadences that strategically align cross‑functional teams with overall project goals and milestones
  • Develop and optimize agenda frameworks to drive productive discussions and decision‑making; systematically monitor action item closure for accountable delivery
  • Ensure project teams and stakeholders receive timely, actionable communications that support alignment on critical deliverables and key decisions
Proactive Project Tracking & Issue Resolution
  • Establish advanced tracking systems using centralized project management tools (e.g., Smartsheet, Asana, Jira, MS Project) to surface risks, resource constraints, and emerging bottlenecks
  • Analyze milestone progression and interdependencies to anticipate potential challenges; develop escalation and mitigation plans to address issues before they impact timelines
  • Facilitate root cause analysis workshops to diagnose recurring project or process impediments and implement corrective actions
Executive Reporting & Dashboard Optimization
  • Design and maintain reporting dashboards that deliver strategic insights for stakeholders and leadership, enabling data‑driven, high‑impact decisions
  • Synthesize complex project data into concise executive summaries, highlighting risks, priorities, and strategic opportunities for improvement
  • Continuously refine reporting processes to reflect shifting business priorities and maximize value for the leadership team
Strategic Communication & Knowledge Management
  • Develop communication frameworks and stakeholder engagement plans to proactively convey project progress, strategic pivots, and major risks
  • Create and maintain centralized, strategically organized repositories for project documentation, facilitating institutional knowledge sharing and decision support
  • Ensure documentation and communications remain compliant with internal standards and regulatory requirements, supporting long‑term project sustainability
Strategic Operational Support & Challenge Resolution
  • Act as an operational advisor, empowering project teams to overcome resource gaps, ambiguity, and strategic challenges
  • Lead problem‑solving sessions to address complex project questions, leveraging data, stakeholder input, and cross‑functional expertise
  • Maintain risk and issue logs as strategic tools to drive accountability and continuous improvement
Continuous Strategic Improvement & Feedback Integration
  • Design and implement feedback loops to extract actionable insights from teams on project operations, scheduling, and tooling
  • Develop and execute strategic process enhancement plans, focusing on streamlining workflows, increasing project visibility, and driving business outcomes
  • Champion a culture of iterative improvement and innovation in project operations
Qualifications & Experience
  • Bachelor's degree in Life Sciences, Business, Operations, Information Technology, or a related field;
    Master's degree or Agile/Scrum certification (CSM, PMI‑ACP) preferred
  • 5–7+ years of project operations or project management experience, with significant exposure to agile methodologies in pharma, biotech, healthcare, or technology sectors
