Position Overview
  • Works directly with providers to implement provider scheduling to ensure maximum productivity. Coordinates scheduling of resources including exam rooms and equipment to ensure appropriate resources for each provider. Exercises discretion and judgment when scheduling staff to ensure adequate coverage in all areas, which may require cross-coverage of staff between locations.
  • Makes recommendations to enhance growth and volume of practices.
  • Approves all expenditures. Manages office inventory of adequate supplies and equipment. Ensures supplies and setup for efficient nighttime services are carried out.
  • Interviews and hires for various locations to meet needs, adhering to salary budget. Appraises performance, rewards and disciplines employees. Addresses complaints and resolves problems in accordance with organizational policies and applicable laws.
  • Completes timely and accurate statistical reports (e.g., monthly referrals, provider hours and vacation, monthly financial information) as required.
  • Attends meetings as assigned. Coordinates practice management participation in provider meetings and conducts staff meetings with documented minutes.
  • Focuses on patient satisfaction goals to increase volume.
  • Ensures performance reviews, in-service education, and employee compliance issues are addressed on a timely basis.
  • Operates in a fiscally responsible manner to achieve operational efficiency and adhere to policies, practices and procedures.
  • Ensures physicians and staff adhere to DNV-GL standards and coding requirements set forth by CH.
  • Interacts with insurance and managed care companies and central billing office to stay current on billing and referral procedures. Researches feasibility of accepting new plans and completes applications with input from the billing manager.
  • Participates in budgeting and makes recommendations for equipment needs. Monitors budget compliance and acts to avoid variances. Manages office accounts payable activities based on expenditures.
  • If working in MFM, arranges and facilitates bi-weekly case conferences.
Minimum Requirements
  • Education:

    High school diploma or GED. Bachelor's degree in business preferred.
  • Experience:

    One year of experience in a healthcare office setting with supervisory duties.
  • Knowledge and

    Skills:

    Excellent organizational, interpersonal, conflict resolution, and verbal/written communication skills. Knowledge of insurance (ICD-9/10 coding, CMS regulations, state/federal regulations, CLIA, DOH, OSHA) preferred; solid knowledge of billing and health insurance guidelines and practices (including commercial, CMS and managed care payers).
  • Special Training:
    Proficient with electronic health records, scheduling, charging and billing systems. Intermediate to advanced computer skills. Proficient with Microsoft Word and Excel.
  • Mental, Behavioral and Emotional Abilities:
    Ability to manage multiple locations and work effectively in several fast-paced environments.
  • Usual Work Day: 8 hours.
