Overview

PharmaACE is a global analytics and consulting firm partnering with leading pharmaceutical and biotech companies to solve their most complex strategic challenges. Our teams span the globe and our reputation is built on intellectual rigor, executional excellence, and trusted relationships
.

Our Princeton office is a critical hub for U.S. operations—and we believe the physical office experience matters.
This role is central to making that belief real
.

The Role

This is not a traditional office manager position.

We are seeking a high-energy, highly organized, and people-focused professional to play a dual role at a growing pharmaceutical consulting firm. This individual will be responsible for both creating an engaging, welcoming office environment and coordinating a series of high-impact internal and external initiatives that elevate how our firm operates and is perceived.

This is a visible, hands-on role with regular interaction with senior leadership, employees, clients, and external partners.

Key Responsibilities

Office Manager (40% of the role)

  • Own the day-to-day office experience for our Princeton office, ensuring it is welcoming, well-run, and engaging
  • Create an environment that encourages in-person collaboration and team connection
  • Manage office operations, vendors, supplies, facilities, and day-to-day logistics
  • Support the onboarding of new hires and interns in partnership with HR and IT
  • Plan and execute in-office meetings, trainings, and team events

Special Projects Coordinator (60% of the role)

  • Project-manage a portfolio of company initiatives aimed at improving internal operations and external visibility
  • Plan and execute logistics for industry conference participation (e.g., registration, travel, on-site coordination)
  • Coordinate client dinners, strategy sessions, and external meetings
  • Support and help coordinate the firm’s summer internship program
  • Serve as a professional, polished “face of the firm” in interactions with vendors, conference organizers, university partners, and clients
Who We’re Looking For
  • High-energy individual with excellent interpersonal and communication skills
  • A proactive, high-ownership professional who thrives in a fast-paced environment
  • Strong organizational and project management skills with attention to detail
  • Comfort being visible, engaged, and externally facing
  • Experience in office management, operations, project coordination, or event planning (professional services experience a plus)
Interested?

If you are energized by responsibility, motivated by impact, and excited by the idea of being both a culture catalyst and execution leader, we would love to hear from you.
