Summary
The Executive Assistant to VP, Strategy Management Office provides administrative and office management support to the VP and the related Operational Excellence groups. The candidate will accomplish diverse and complex administrative tasks in a fast‑paced environment while working with internal stakeholders and senior leaders across Global Business Operations and all functions of the company.
Responsibilities- Proactive and heavy calendar management, meeting scheduling, and travel booking.
- Purchase order preparation and management; group logistics; expense report processing.
- Office management: stocking and ordering supplies, overseeing use of office space, conference room booking.
- Planning and executing in‑office meals, event/meeting logistics.
- Consistent data management procedures (One Drive, Teams).
- Onboarding assistance to new staff; coordination with corporate functions (BMS IT/AV services, security, real estate).
- Collaborate with other executive assistants across the company.
- Anticipate needs of manager with minimal supervision.
- Adhere to T&E policies, booking travel and reconciling expenses.
- Ensure VP preparedness for meetings; assemble materials and PowerPoint presentations.
- Willingness to assist and support others; balanced work demands.
- Escalate decision‑making when appropriate.
- Interface appropriately with BMS senior executives and matrix team members.
- Represent team professionally in engagements.
- Handle confidential information with discretion.
- Adapt to constant change and quickly course correct.
- Positive work attitude and high productivity.
- 8–10 years of administrative experience, primarily supporting enterprise/Finance executives.
- Bachelor’s degree preferred.
- Strong interpersonal skills dealing with all levels of management.
- Excellent verbal and written communication.
- Proven ability to handle sensitive information with confidentiality, discretion & good judgment.
- Adaptable, proactive, reliable, accountable; works with limited supervision.
- Strong attention to detail.
- Comfort with new tools and technologies (web‑based, digital communication tools).
- Professional and technical knowledge current with BMS continuous learning modules.
- Highly proficient in Microsoft Office Suite (Outlook Calendar and Email, Teams, SharePoint, Excel, Word, PowerPoint).
