The Accounting Associate (AP & Accounting Support) role is responsible for accounts payable processing and for supporting general ledger accounting activities under the supervision of the Corporate Controller. This position assists with recurring journal entries, maintenance of assigned accounting schedules, and support of month-end close processes.
The role focuses on transactional accuracy, documentation integrity, and structured accounting support functions. The Accounting Associate does not have primary responsibility for general ledger ownership or financial statement preparation but supports those processes as directed.
This role is ideal for a detail‑orientated individual seeking to develop foundational accounting experience within a collaborative finance team environment.
Essential Duties and Responsibilities- Accounts Payable Responsibilities:
- Receive, review, verify and code vendor invoices and employee expense reports with high accuracy
- Process and set up new vendors, including W‑9 verification and maintenance of vendor master files
- Research and resolve invoice discrepancies and respond to vendor inquiries
- Process accounts payable payment runs including checks, ACHs and wires
- Maintain vendor invoice log and prepare accounts payable accrual support schedules
- Assist with preparation and filing of annual 1099 forms
- Maintain documentation supporting disbursement controls and audit requirements
- Accounting Support Responsibilities:
- Reconcile cash daily, record bank transactions in general ledger and perform month‑end bank reconciliations
- Prepare recurring, template‑based journal entries under supervision (e.g., prepaid amortization, routine accruals, reclasses)
- Maintain assigned accounting schedules (e.g., prepaid expenses, fixed asset support schedules, accrual tracking)
- Assist with preparation of monthly balance sheet account reconciliations by compiling supporting documentation and researching variances as directed
- Assist with month‑end close checklist tasks as assigned to ensure timely completion
- Compile supporting documentation used in preparation of internal financial reporting
- Provide documentation and schedules in support of quarterly review and annual audit requests
- Assist in review of 10‑Q, 10‑K and other required SEC filings
- Assist in ad hoc projects as needed.
- Position requires one of the following:
- Associate’s degree in Accounting with 2+ years of progressive accounting or accounts payable experience, or
- Bachelor’s degree in Accounting or Finance, or
- Equivalent combination of education and experience supporting month‑end close activities
- Working knowledge of basic accounting principles and U.S. GAAP (Generally Accepted Accounting Principles)
- Experience preparing journal entries and maintaining accounting schedules preferred
- Experience supporting month‑end close processes preferred
- Proficient with Microsoft Office, particularly Excel
- Experience with ERP systems such as Microsoft Dynamics a plus
