Overview
A specialist Obstetrics and Gynaecology medical practice in Midstream is seeking to recruit a well presented and experienced Medical Receptionist. The role requires a professional individual who can manage front desk operations, patient coordination, and administrative support while maintaining a calm and welcoming practice environment.
Duties and Responsibilities- Answer all calls in a professional, courteous, and efficient manner
- Take messages and ensure timely follow up by the relevant person
- Maintain an issue logbook for daily messages and matters
- Communicate with patients via phone, email, or SMS regarding feedback from the doctor
- Manage the appointment diary and book patient consultations
- Prepare patient files for upcoming appointments
- Welcome patients and manage expectations regarding waiting times
- Verify and update patient information and open new patient accounts
- Obtain referral letters, medical notes, and correspondence from other doctors
- Assist with obtaining laboratory results and radiology reports
- Provide patients with relevant information and forms for procedures, surgeries, and hospital admissions
- Prepare theatre lists and manage pre authorisations
- Arrange anaesthetists and assistants for surgical procedures
- Ensure clinical notes are captured accurately post surgery
- Track surgical cases where the doctor has assisted
- Assist with reports and professional correspondence
- Schedule administrative appointments with service providers
- Liaise with contractors, suppliers, and service providers
- Manage supplier contracts and agreements
- Order stock from pharmacies, stationers, and suppliers
- Support practice marketing initiatives
- Maintain the CPD register
- Provide personal assistance support to the doctor
- Assist with general office administration tasks
- Matric / Grade 12
- 3 to 5 years experience in a similar medical receptionist role
- Strong computer literacy
- Experience with GoodX and Elixir advantageous
- Strong interpersonal and communication skills
- Professional and well presented
- Ability to work under pressure
- Ability to work independently and within a team
- High attention to detail and accuracy
- Strong organisational skills
- Confident computer user
- Ability to multitask and manage priorities
- Team oriented and reliable
Monday to Friday, 08h00 – 16h30, with occasional shifts extending to 17h00
