PURPOSE:

We are seeking a detail-oriented Project Administrator to join our team. As a Project Administrator, you will be responsible for maintaining project documentation, coordinating project schedules, and providing administrative support to the project team. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to multitask effectively. Qualifications:
  • Diploma or degree in Business Administration, IT, or Project Management
  • Certification in project management (CAPM or similar) is an advantage
Certifications:
  • PMBOK/ or PRINCE II certification will be an advantage
  • Project Management Certification
Experience:
  • Proven working experience as a Project Manager (projects that require co-ordination of training and compiling of training manuals through both internal and third-party engagements would be a plus)
  • Strong working knowledge of Microsoft Office and MS Project
  • PRINCE II/ or PMBOK Project Experience
  • At least 3+ years relevant work experience in a fast-paced and performance-driven environment
  • Advanced MS Office skills required, MS Excel, MS PowerPoint and MS Word
  • Detailed practical knowledge of project management methodologies, tools and techniques with in-depth knowledge of at least one methodology
  • Ability to create and implement detailed project plans and conceptualise clients’ needs.
  • Strong PC skills and experience of system such as MS Projects, Smartsheet etc
  • Ability to multitask and working to tight deadlines.
  • Advanced MS Office skills required, MS Excel, MS PowerPoint and MS Word
  • Self-motivated with the ability to manage changing priorities and meet deadlines
Duties and Responsibilities:
  • Coordinate internal resources and third parties/vendors for the flawless execution of projects
  • Project Administration/ Reporting
  • Schedule project and milestones on official project scheduling tools/ systems
  • Administration of system milestones
  • Identify dependencies and interdependencies between projects and schedule accordingly
  • Monitor Draw, Generate, Analyse, update and escalate Follow up
  • Draw reports to monitoring, control, analyse all funding and spending
  • Closure including savings and overspending
  • Provide updates
  • Minutes taking, typing and distribution.
  • Creating and accurately typing up of all Templates;
    Correspondence;
    Reports;
    Specifications;
    Presentations.
  • Liaising with all support staff and clients on a regular basis.
  • Assist project teams with formatting as required.
  • Distribution of all correspondence.
  • Printing and binding of documents.
  • Boardroom management.
  • All pr0ject administration.
  • Catering for project team and clients / project events.
  • Travel arrangements —assist with all travel arrangements are made for project team.
  • Onboarding —assist with all onboarding arrangements for the project t8am and vendors.
  • Manage contact list and distribution lists.
