The Patient Administration Coordinator plays a pivotal role in supporting the delivery of high‑quality, patient‑focused care by effectively coordinating clinical diary management, allocating and verifying resource availability for patient bookings, processing client data, and accurately importing information into internal systems.

Reporting to the Resource Management Manager and working in a team of Patient Administration Coordinators, the role oversees a wide range of administrative, coordination, and reporting activities. A key focus is identifying efficiencies in patient, clinician, and room scheduling to ensure diaries are optimised and managed proactively to maximise operational and business performance. The role also requires appropriate escalation of gaps, risks, or efficiency opportunities.

This is a fast‑paced, commercially driven environment with clear objectives, performance targets, and standard operating procedures. The position is not patient‑facing; instead, it is highly data‑driven and analytical, requiring strong IT and Excel skills, excellent coordination capabilities, and the ability to build relationships and recommend process improvements to add workforce planning.

What You’ll Do
  • Coordinate and optimise patient booking, diary, and resource management flow to support timely access to care and efficient clinical service delivery.
  • Manage patient administration workflows related to appointment scheduling, clinician allocation, and room utilisation across service lines to add workforce planning performance.
  • Process, validate, and maintain patient and service data within internal patient administration and scheduling systems.
  • Deliver monthly patient scheduling outputs in line with forecast demand, service‑line KPIs, and operational targets.
  • Monitor diary accuracy and patient booking integrity, maintaining high data quality and minimal error rates.
  • Identify and elevate patient administration risks, gaps, or inefficiencies impacting appointment flow, access, or capacity.
  • Support patient access and workforce planning by aligning appointment capacity, clinician FTE, and room availability.
  • Produce and maintain patient administration reports, scheduling forecasts, and KPI dashboards at weekly, monthly, and quarterly intervals.
  • Work collaboratively with Resource Management, clinical teams, Contact Centre, and facilities to support seamless patient administration processes.
  • Participate in regular operational reviews to address patient flow issues, scheduling bottlenecks, and corrective actions.
  • Contribute to continuous improvement initiatives focused on enhancing patient administration efficiency, accuracy, and service quality.
