Admin Assistant
The Part-Time Receptionist provides basic front-desk, customer service, and intake support for the WIOA Title I-B Adult, Dislocated Worker, and Youth programs at the American Job Center located on the Yavapai College Prescott Campus.
Primary duties include greeting walk-ins, answering phones, scheduling appointments, distributing intake packets, assisting customers with basic form completion, providing simple help using computers for job search tasks, and entering customer information into tracking logs. The Receptionist will also maintain a clean and organized reception area, make copies, and support client flow.
In addition to these Title I-B responsibilities, approximately seven (7) hours per week are allocated to Regional Economic Development Center (REDC) REDC-funded clerical tasks. These REDC tasks are assigned, directed, and supervised solely by REDC and follow REDC’s task procedures and workflows. Title I-B supervises only the Title I-B portion of the role.
This position does
not include Career Navigator duties, eligibility determination, case management, TABE testing, policy interpretation, or in-depth administrative functions.
Training will be provided for all assigned duties.
Responsibilities Title I-B Duties (Primary Role) Client Interaction & Front Desk Support- Greet walk-in clients, verify appointments, and direct visitors to the appropriate staff.
- Answer incoming calls professionally; document caller information (name, phone number, email, and reason for calling).
- Schedule appointments for Career Navigators using established procedures.
- Return missed calls and provide follow-up communication as directed.
- Notify Career Navigators when their next appointment has arrived.
- Provide general information about American Job Center (AJC) and Title I-B services using approved materials.
- Distribute Title I-B intake packets, checklists, and required forms.
- Make copies of intake forms and materials as needed.
- Assist customers with basic form completion (e.g., where to write information, where to sign), without interpreting eligibility or giving program advice.
- Provide simple guidance on required steps such as FAFSA submission and instruct customers to send confirmations to the designated program email.
- Collect customer contact information and accurately enter data into Excel-based tracking logs.
- Assist customers with logging into public computers.
- Help customers navigate to job search websites, email accounts, or FAFSA (mechanical help only).
- Provide general direction without advising on job search strategy, résumé content, or training eligibility.
- Maintain a clean, organized, and welcoming reception area.
- Restock packets, forms, and materials as needed.
- Comply with all confidentiality and information-handling procedures.
- Complete basic data entry and document uploads in REDC-designated tracking systems.
- Maintain training- and provider-related information following REDC’s step-by-step procedures.
- Identify missing information or simple discrepancies and notify designated REDC staff for follow-up.
- Perform routine clerical workflows that support the accuracy and organization of REDC records.
- Communicate with REDC staff regarding required updates, corrections, or assigned tasks.
- High school diploma or equivalent.
- At least one year of receptionist or public-facing customer service experience.
- Strong interpersonal communication skills and a friendly, professional demeanor.
- Ability to manage incoming calls and walk-in interactions professionally.
- Basic computer proficiency (email, web browsers, Excel).
- Ability to learn WIOA Title I-B basics and REDC administrative processes through provided training.
- Regular onsite attendance at the Prescott Campus.
- A valid Level I Fingerprint Clearance Card is required (or applicant must begin the process upon applying).
- Experience in customer service, reception, or client-support roles in workforce, education, or human services settings.
