Overview

Are you a highly organized, caring medical professional with a passion for pediatric health? Do you excel at coordinating complex programs and empowering families to access vital care? We are seeking an exceptional Pediatric Program Coordinator to support the Partners for Healthy Students program. You’ll drive seamless operations to ensure children receive care from clinic visits to critical community referrals.

Responsibilities
  • Use Material Management systems to order and maintain clinical and office inventories/supplies. Manage internal program charges and coordinate reconciliation with Patient Financial Services, Materials Management, and dietary. Maintain inventory for clinical and office supplies at appropriate par levels.
  • Oversee and coordinate administrative activities of the Partners for Healthy Students program to ensure efficient operation. Provide oversight and guidance to school nurses and school personnel with intake, eligibility, admission, and referral processes. Coordinate patient scheduling with school nurses, parents, and school personnel.
  • Respond to parent/patient/community inquiries regarding services and billing. Use strong customer-relations skills to manage inquiries, address charges mailed in error, determine eligibility, and schedule as appropriate.
  • Facilitate referrals to community agencies when health or social issues are identified in clinics. Coordinate linkage with community resources (e.g., Kidscare/AHCCCS, Yavapai County CHS and ASIIS, YRMC Ancillary Services, Arizona School for the Deaf and Blind, Lion’s Club, AAP Medical Services Project, Shriner’s Hospitals, mental health providers, Child Find, AZ Early Intervention, physician offices). Manage all referrals to appropriate resources and ensure referral processes follow YRMC HIPAA guidelines.

    Coordinate all dental services and referrals.
  • Coordinate and integrate all pertinent information. Maintain confidential medical records, manage medical information including scanning, enter and access data in the EMR, and ensure proper medical record coding per Hospital/Health Information Management standards.
  • Maintain clinical standards of care by documenting follow-up inquiries in the medical record and obtaining current medical data (e.g., immunization records) for quality health care delivery.
Job Requirements Minimum
  • Medical assistant certification within 18 months of hire
  • Two years of clinical pediatric experience (clinic, hospital, or school setting)
  • Experience with reporting and query tools
  • American Heart Association Basic Life Support for Healthcare Providers
  • First Aid certification
  • Valid Arizona Driver's License
  • Certified Clinical Medical Assistant (CCMA) within 18 months of hire
  • Current AZ DPS Level One fingerprint clearance card within 7 days of hire
  • Certification in school-based vision and hearing screening procedures (AZ Yavapai County Educational Service Agency) within 18 months of hire
  • Ability to work with children and families across developmental levels
  • Ability to care for patients with infectious diseases
  • Strong office management and multitasking skills
  • Ability to prioritize and organize complex duties with professional, positive, and creative problem-solving
  • Excellent communication, interpersonal, and liaison skills; ability to communicate under stress
  • Demonstrates flexibility, patience, humor, and strong stress management skills
  • Objective approach to all patients and families regardless of socioeconomic background or health condition
  • Ability to recognize and use medical terminology
  • Willingness to learn to drive/operate a mobile clinic for emergency purposes only
  • Must have own transportation and automobile insurance
  • Computer literacy and proficiency in Microsoft Windows
  • Ability to accurately and efficiently enter and extract data
Preferred
  • Experience working in a school setting
  • One year of healthcare administrative experience
  • Licensed Practical Nurse: AZ (LPN:

    AZ)
  • Electronic Medical Record (EMR) experience, Cerner preferred
  • Bilingual in Spanish
