Scheduling Coordinator - Cardio Thoracic Surgeons - Poughkeepsie, NY
Full Time 8:00am - 4:30pm Monday - Friday.
Summary
The Scheduling Coordinator provides scheduling support for physicians, advanced practice providers, and diagnostic imaging appointments. This highly organized, detail-oriented and resourceful individual is responsible for scheduling all pre-procedure, procedure, and post-procedure appointments in the clinic and hospital setting, including completing full registration, collecting co-pays, checking eligibility, completing check-in/out processes, answering incoming calls and voicemails, scanning paperwork, rescheduling cancellations and no-show appointments, monitoring scheduling pools, referrals, and queues.
The individual must demonstrate a highly professional, compassionate, and positive attitude at all times, and participate as a dynamic member of the office, identifying and suggesting opportunities for improvement.
Responsibilities
- Schedule inpatient and outpatient diagnostic imaging and cardiac specific appointments; perform prior authorizations to ensure authorizations are obtained before appointments.
- Schedule all clinic patients, obtain all records, and confirm completion of the chart before the patient’s clinic appointment.
- Coordinate retrieval of outside imaging or records needed for clinic patients.
- Facilitate the flow of the clinic, readily available to make phone calls, schedule last minute needed tests, and help providers with whatever needs they may have.
- Support the design and implementation of solutions to identified trends or problem areas.
- Collaborate with other departments to streamline patients’ pre-procedures schedule to optimize the patient experience.
- Ensure medical records are compliant with HIPAA regulations, Federal/State regulations regarding confidentiality of Protected Health Information, and corporate compliance standards.
- Complete booking sheets for necessary outpatient procedures and use faxes/emails/scans to the cardiac catheterization lab.
- Reconcile incoming correspondence and medical records with chart; scan all correspondence and medical records, in accordance with NHMP workflow and office protocols, using appropriate naming conventions.
- Comply with all Nuvance Health, HVCP and affiliate policies and ensure compliance with all applicable law and regulation.

- Perform other duties as required.
