Job Status:Part-Time 20 hours per week 1 year contract
POSITION DESCRIPTIONThe Scholarships & Grants Assistant will support the administration to our client’s scholarship and competitive grant programs, and general Foundation operations. This role will provide critical database and operational support, provide excellent service to grant and scholarship applicants and stakeholders, and work on special projects as assigned.

KEY RESPONSIBILITIES AND DUTIESTo include but not limited to:
- Assist in administrative aspects of grant and scholarship processing under the direction of the Grants Administrator and SVP Programs.
- Provide operational assistance for over 100 scholarship funds, support outreach and program efforts, and support the intake and processing of over 1000 scholarship applications each year (preliminary scholarship application review, basic tech support for applicants and guidance counselors, processing, and college follow-up form review.)
- Provide operational assistance for 15 – 20 competitive annual grant processes (preliminary grant application review, basic tech support for applicants and de-duplication accounts, processing, and follow-up form review)
- Act as point person for communication of scholarship and grant requirements to nonprofits, scholarship applicants, guidance counselors, and financial aid departments.
- Coordinate scholarship application process including preparation of online scholarship portal, management of applications in portal and school selected paperwork, communication of awards to students, student renewal process, and perform due diligence to release scholarship payments.
- Communicate scholarship award details to fund advisors, forward thank you letters from scholarship recipients to advisors.
- Support outreach efforts to area schools to promote scholarships and celebrate the awards and donors.
- Routine database maintenance in the 3 systems we work in CSUITE by Foundant, GLM (Grants) and SLM (Scholarships).
- Stay up to date on new releases and changes in our databases.
- Assist with all aspects of our clients’ special events as requested.
- Maintain confidentiality of Foundations’ affairs in communications, both written and oral, and ensure such through appropriate filing and disposal of materials.
- Other duties as assigned.
- Experience in related fields, especially as it relates to nonprofit administration, development, scholarships and grantmaking will be considered.
- Successful candidate should have strong organizational skills, attention to detail, and have a positive team-orientated attitude. They should be comfortable juggling multiple deadlines and be able to manage workflow. Ability to work independently, and within a small team is needed.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Proficiency with CRM systems, including strong database management skills in data entry, reporting, and system navigation.
