POSITION SUMMARY

Hutco, Inc. is seeking a detail-oriented Security Administrative Associate to support the Security Department in Norfolk, Virginia. This onsite role is responsible for maintaining industrial security records, managing access documentation, and safeguarding Personally Identifiable Information (PII) and other sensitive data in compliance with government and company policies.

This position supports personnel security, physical security, and government asset security while ensuring accurate documentation and adherence to established procedures.

Regular, reliable onsite attendance is an essential function of this position.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES
  • Maintain security record-keeping systems, databases, and spreadsheets
  • Prepare recurring and specialized reports containing sensitive information
  • Coordinate and maintain records for:
    • Vehicle passes
    • Badges
    • Property control forms
    • Camera and laptop passes
  • Process PII for employees, labor agencies, subcontractors, and contractors to obtain government-issued badges
  • Track badge issuance and renewal notifications
  • Interface with government customers, contractors, and internal departments regarding facility access
  • Coordinate with on-duty security guards for access to Controlled Industrial Areas (CIA)
  • Assist with implementation and compliance of CIA access controls
  • Screen calls, manage sensitive emails, and greet visitors
  • Communicate ship locations and availability updates to managers
  • Process government spreadsheets using Microsoft Excel
  • Protect confidential and sensitive information at all times
  • Provide high-level customer service to employees and external stakeholders
  • Perform additional duties as assigned
SKILLS & QUALIFICATIONS

Education & Experience
  • High School Diploma or equivalent required
    AND EITHER:
  • AA/AS degree plus 2 years of directly related experience
    OR
  • 4-6 years of directly related industrial security or administrative experience
Required Skills
  • Knowledge of industrial security policies and government directives
  • Experience working with databases and spreadsheets, including government systems
  • Proficiency in Microsoft Office (especially Excel)
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively
  • Ability to obtain a Common Access Card (CAC) or other government-issued badge
  • Strong customer service focus
  • Ability to handle sensitive and confidential information responsibly
  • Flexible with work hours
Bilingual skills are a plus.

WORKING RELATIONSHIPS
  • Reports directly to the Facility Security Officer (FSO)
  • Works closely with government personnel, contractors, security guards, and internal departments
  • Maintains professional interaction with visitors, customers, and employees
ACCOUNTABILITY

The Security Administrative Associate is accountable for:
  • Accurate access control and badge processing
  • Secure handling of PII and sensitive data
  • Maintaining compliant record-keeping systems
  • Delivering professional customer service
  • Ensuring all security procedures are followed
WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
  • Primarily office-based, onsite position
  • Regular interaction with visitors and employees
  • Moderate noise environment
  • Must be able to sit for extended periods and use standard office equipment
