Position Summary:

The Athletics Administrative Assistant provides comprehensive administrative and operational support to the Director of Athletics and Intramural Sports. This role is essential for ensuring smooth day-to-day operations of the Athletics program, including managing procurement and financial processes, coordinating logistics for athletic events, and serving as a liaison between internal departments and external partners. The position supports student-athlete success and helps maintain compliance with institutional and NJCAA requirements.

Responsibilities
  • Administrative Support: Manage calendars, schedule meetings, and coordinate travel arrangements for athletic teams and staff.
  • Assist Director of Athletics and Intramural Sports in coordinating and planning game schedules, contracts, and home/away athletic events.
  • Serve as the primary point of contact for Athletics-related inquiries.
  • Procurement and Financial Coordination: Oversee procurement processes, including eVA requisitions and vendor transactions.
  • Process invoices and communicate with Finance, Institutional Advancement, and campus business offices to ensure timely payments.
  • Assist with cash advances, credit card transactions, and monthly financial reporting.
  • Communication and Liaison: Coordinate with internal departments for athletic operations.
  • Make administrative calls and follow up on reservations, approvals, and service requests.
  • Game Day and Event Support: Arrange meal orders, transportation, and security for athletic events.
  • Support logistics for volunteer and community engagement activities.
  • Compliance and Recordkeeping: Maintain accurate records of financial transactions, vendor agreements, and scheduling.
  • Support Director of Athletics and Intramural Sports in ensuring adherence and compliance of college policies and NJCAA guidelines.
  • Other duties as assigned by the Director of Athletics and Intramural Sports
Minimum Qualifications
  • Previous administrative experience, preferably in athletics or higher education.
  • Experience with procurement systems (eVA or similar) and financial processes.
  • Strong organizational, time-management, and project management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and database systems.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong problem-solving, critical thinking, and customer service skills.
  • Ability to organize, prioritize, and manage multiple tasks effectively.
  • Knowledge of policy and procedure interpretation and application.
  • Ability to maintain confidentiality and handle sensitive information.
Additional Considerations
  • Knowledge of People Soft systems.
  • Experience working with community college students and the general public.
  • Familiarity with NJCAA compliance and college athletics operations.
  • Experience coordinating events and travel logistics.
  • Knowledge of budget tracking and vendor management.
