Under the supervision of the Director, the Operations Coordinator is responsible for a wide range of duties to continuously improve patient care and ensure effective functioning of the Surgical Oncology Center.
Responsibilities- Perform administrative duties including scheduling patient appointments and answering incoming calls.
- Track productivity data, including clinic visits, surgeries and referrals.
- Complete daily charge entry and medical records reconciliation.
- Order office and medical supplies; receive and process invoices.
- Administer insurance verification, medical necessity review and authorization for surgeries to prevent denials and reduce write‑offs.
- Coordinate peer‑to‑peer calls with providers for denied authorization attempts, including diagnostic test authorizations from Schedule+.
- Communicate coverage issues to the treatment team that may impact sequencing and timeliness of care.
- Collaborate with the Navigator to align patients with patient assistance programs, as needed.
- Work with Operating Room staff to book surgeries.
- Coordinate pre‑operative testing and ensure patients have proper medical clearance before procedures.
- Coordinate special equipment needs with the OR per surgeon.
- Maintain department records and meeting minutes.
- Lead the coordination of Cancer Conferences, Cancer Committee and BPL meetings.
- Follow organizational guidelines regarding use of the Electronic Medical Record (EMR) in compliance with HIPAA and patient confidentiality standards.
- Be prepared to respond calmly and efficiently to emergency procedures, including evacuation, fire and natural disasters.
- Provide leadership coverage in the absence of the Director.
- High School Graduate or GED.
- 3‑5 years experience in a hospital patient care setting.
- BLS certification required within 30 days of employment.
