Overview
POSITION SUMMARY: We are seeking a detail-oriented Payroll Reporting Specialist to support our multi-entity and multi-state payroll reporting obligations; which include payroll tax, worker compensation, and union reporting. This position will be full time, physically located 5 days a week in-office. This role will work closely with the Payroll Tax and Reporting Administrator and the Union Payroll Compliance administrator. This position will report to the Union Payroll Manager.
SALARY RANGE: 55k-65k depending on experience.
Responsibilities- Support the Payroll Tax and Compliance Administrator with weekly payroll tax withholding deposit preparation, including federal, state, and local requirements across multiple legal entities and jurisdictions.
- Assist with the preparation and reconciliation of quarterly payroll tax filings (e.g., Forms 941, state unemployment and withholding returns), compiling supporting schedules and documentation for administrator review and submission.
- Prepare payroll and job-level data to support accurate workers’ compensation reporting by entity, state, trade, and project, identifying variances or anomalies for administrator review.
- Report payroll data for multiple entities against multiple project specific policies.
- Support the Union Payroll Compliance Administrator with monthly union reporting, including preparation of hours, wages, and fringe benefit detail across multiple legal entities, multiple states, and multiple union trades.
- Assist with the preparation of union fringe benefit reports and remittance support, ensuring consistency between payroll records, job cost data, and union reporting requirements.
- Maintain accurate and organized payroll tax, workers’ compensation, and union compliance documentation.
- Track and support compliance calendars and recurring deadlines (weekly, monthly, quarterly), escalating risks or missing data to administrators in advance of due dates.
- Perform other payroll and compliance support duties as assigned.
- High School Diploma or GED required.
- 0–2 years of experience in payroll, accounting, finance, HR, or administrative support, or equivalent experience working role requiring analytical skills.
- Basic understanding of payroll concepts, including wages, with holdings, and payroll cycles, or demonstrated ability to learn regulated or compliance processes.
- Strong attention to detail and ability to work with high-volume, data-driven information across multiple deadlines.
- Proficiency with Microsoft Excel and other Microsoft Office applications, including the ability to work with spreadsheets, formulas, and reconciliations.
- Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, Power Point and Teams), and have a general understanding of working within a computer network.
- Excellent attention to detail and ability to analyze complex payroll data.
- Strong written and verbal communication skills, including the ability to train and guide subcontractors.
- Ability to documented procedures, maintain confidentiality, and work effectively under supervision in a compliance-driven environment.
- Ability to work well and maintain a cooperative attitude in deadline driven environment.
- Excellent time-management skills and ability to multi-task in a deadline driven environment.
- Ability to work well in a large professional setting. Patience and professionalism are essential.
- Must be a strong team player with the ability to collaborate with various personnel within and across departments and at all levels of leadership.
