Admin Assistant, Office Administrator/ Coordinator
Starting at $18/hour | Depending on Experience
Position SummaryThe primary purpose of this role is to greet and assist visitors, residents, and callers while delivering exemplary customer service at all times. Under the direction of your supervisor, you will also perform a variety of administrative support functions in accordance with established procedures.
Key ResponsibilitiesCustomer Service & Front Desk
- Greet residents, visitors, and vendors in a courteous and professional manner
- Verify visitor information and direct individuals to appropriate locations
- Answer and route phone calls promptly and accurately
- Respond to internal requests and assist in locating appropriate staff
- Communicate facility policies and procedures clearly and respectfully
- Identify and report security concerns as needed
Administrative Support
- Maintain resident and facility information (room numbers, call eligibility, emergency contacts, extensions, and key personnel)
- Protect confidentiality and privacy at all times
- Assist with clerical duties such as typing, copying, filing, sorting mail, ordering supplies, and mailing physician orders
- Conduct small monetary transactions ethically and responsibly
- Maintain a clean, organized, and professional front desk environment
- Document concerns or route them to the appropriate department
- Participate in required in‑service training and education programs
- Strong customer service and communication skills
- Ability to make independent decisions, follow directions, and accept feedback
- Tact, professionalism, and compassion when working with residents, families, staff, and the public
- Comfort working in a healthcare environment with elderly, ill, or emotionally distressed individuals
- Ability to read, write, speak, and understand English effectively
- High school diploma or GED preferred
- Prior clerical or receptionist experience preferred
- Secretarial or administrative training a plus
- Ability to sit, stand, and move throughout the facility as needed
- Ability to perform routine office and front desk tasks
