The Executive Assistant provides high-level administrative support to the Chief Executive Officer and the Executive Leadership Team. This role requires a proactive, highly organized professional who anticipates needs, manages competing priorities, and ensures executives are fully supported whether working from headquarters or traveling globally. A strong sense of urgency, discretion, and attention to detail are essential to success in this role.

Location: Portland, OR

Duties and Responsibilities:

  • Manage complex executive calendars, including scheduling meetings, conferences, and travel
  • Coordinate and book detailed domestic and international travel arrangements, including itineraries, documentation, and visa requirements
  • Prepare, submit, and reconcile executive expense reports accurately and in a timely manner, ensuring compliance with company policies
  • Support and maintain the company’s Travel Management System, including booking, updates, troubleshooting, and user support as needed
  • Assist in communication with board members and preparation of materials for board meetings
  • Proactively resolve scheduling conflicts, travel disruptions, and last‑minute changes
  • Organize and support small and large meetings, conferences, and corporate events by coordinating with internal teams and external vendors
  • Maintain professionalism and strict confidentiality in all communications and materials
  • Manage office supplies and maintain vendor relationships
  • Assist with preparation and distribution of corporate communications
  • Track, analyze, and format monthly reports and other executive‑level materials
  • Partner with the Corporate Communications and Administrative teams to support projects and company‑wide initiatives as needed

  • Exceptional organizational, prioritization, and problem‑solving skills
  • Strong attention to detail with the ability to manage multiple priorities simultaneously
  • Excellent interpersonal, written, and verbal communication skills
  • Advanced working knowledge of Microsoft Office, with emphasis on Word, Excel, PowerPoint, and Outlook

Education and Experience:

  • 5+ years’ experience in a similar role directly supporting Executive level staff
  • Experience planning and booking multi‑stop domestic and international travel

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds.
