Role Description

This is a full-time, on-site role located in Portland, OR, for a Sales and Marketing Coordinator. The Coordinator will support sales and marketing efforts by assisting in event planning, managing projects, creating and organizing content, and fostering strong communication with clients and team members. Responsibilities will include maintaining marketing materials, coordinating promotional campaigns, organizing logistics for events and conferences, assisting with client engagement, and supporting the sales team in achieving business objectives.

This role is ideal for someone highly organized, detail-driven, and comfortable managing multiple tasks in a fast-paced office environment.

What You’ll Do:

Administrative Support
  • Answer and route incoming calls
  • Greet clients and visitors professionally
  • Manage incoming/outgoing mail
  • Maintain organized digital and physical files
  • Order and manage office supplies
  • Assist with preparing contracts, proposals, addendums, and presentation materials
  • Support group invoicing and billing processes
  • Prepare sales reports and internal documents
  • Respond to sales inquiries when managers are unavailable
  • Assist with maintaining accurate records in Delphi (preferred)
Marketing & Office Projects
  • Assist with social media posts and basic marketing initiatives
  • Support creation of flyers and promotional materials
  • Prepare VIP gifts and manage related inventory
  • Coordinate site tour preparations (guestrooms, meeting space readiness, internal communication)
  • Attend meetings, take minutes, and distribute notes

    Run occasional office errands as needed
Qualifications
  • Strong verbal and written communication skills for client engagement and team collaboration
  • Experience in sales and a proven ability to drive marketing initiatives
  • Proficiency in event planning and project management to coordinate and execute successful events
  • Excellent organizational and time management skills
  • Familiarity with digital marketing strategies is a plus
  • Bachelor's degree in Marketing, Communications, Business, or a related field is preferred
