Project Manager / Executive Assistant

About the Role

Key Responsibilities
Design and implement workflows to improve efficiency, productivity, and scalability
Build and maintain project plans, roadmaps, and documentation using digital tools
Coordinate and manage teams to ensure projects stay on track and meet deadlines
Prepare for and support meetings, including scheduling, note-taking, and tracking action items
Develop templates and tools for reports, presentations, emails, and internal communications
Organize and format client-facing reports, proposals, and presentation materials
Handle administrative functions such as calendar management, travel coordination, expense tracking, and billable time tracking
Assist with budget tracking and reporting
Manage and prioritize multiple projects simultaneously in a fast-paced environment
Skills & Attributes
Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)
Strong experience with project management tools (e.g., Smartsheets, Asana)
Comfortable working in Microsoft Teams and collaborative digital environments
Proactive, self-starting, and solutions-oriented
Highly organized with strong attention to detail
Passion for continuous improvement and learning

Requirements
4+ years of experience as an Executive Assistant and/or Project Manager
Excellent communication, organization, multitasking, and presentation skills
Bachelor's degree or equivalent professional experience
Ability to work in person in Portland, OR on a hybrid basis (not fully remote)
Willingness to travel occasionally for meetings, events, and training
