Executive Assistant---------------------------------------------------------------This position provides executive administrative support and coordination for multiple senior leaders. The position may include an area of specialty, such as support for Board of Directors, external relationships, or program administration. This position interfaces with high level internal and external contacts requiring considerable discretion and initiative, including independently answering inquiries and correspondence.
Note:
This is a full-time position working from the corporate office at least 3 days a week.

** Essential Responsibilities
** Administrative Support The following are typical responsibilities for this position:
* Produce documents, charts and graphs using Microsoft Office programs.
* Draft, edit and finalize reports, correspondence, agendas, and white papers; independently compose correspondence related to the responsibilities assigned on behalf of senior leaders.
* Prepare outgoing materials and review for internal consistency and conformance with the internal procedures; assure proper clearances and policies have been obtained, when needed.
* Monitor expenditures, assuring expenditures do not exceed established limitations; balance and reconcile assigned accounts and budgets; assist with budget development for special events and meetings; maintain various financial and statistical records and files; prepare, process and code purchase orders and invoices as assigned; arrange for billings and payments as directed.
* Provide communications support for the Executive Team; receive, screen and route telephone calls and take, retrieve, and relay messages as needed.
* Manage calendars to coordinate a variety of executive level meetings; schedule and arrange appointments and conferences.
* Arrange corporate domestic and international travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging and meeting accommodations.
* Assist in all aspects of Board of Director and/or senior leadership meetings and committees as required, including logistics, preparation materials, agenda setting, tracking, and monitoring work plans.
* Record and transcribe proceedings of monthly Board meetings and/or committees as requested.
* Establish and maintain cooperative and productive working relationships with stakeholders, contacts, and other internal/external customers contracted in the course of work.
* Assist with recruitment activity; coordinate equipment and workspace setup for new staff hires, staff moves, and terminations; coordinate and assist with new hire orientation within the department.
Program/Project Support
* Administer programs, including development, implementation, maintenance, evaluation, and reporting.
* Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, creating tracking documents, monitoring progress, problem solving, and making adjustments to plans.
* Assist in logistics planning for special events and/or retreats.###
** Experience and/or Education
** Required* Minimum 5 years’ administrative assistant experience, including minimum 2 years’ experience providing executive support### Knowledge,

Required Knowledge
* Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
* Strong understanding of meeting and event planning components
* Understanding of support needed for Board of Directors
Skills and Abilities
* Advanced computer skills in all Windows Office software, including Outlook, Word, Excel, and Power Point
* Excellent customer service and written and verbal communication skills
* Proficient grammar, spelling, and proofreading skills
* Ability to use good judgment, personal initiative, and discretion to provide complex and confidential support with particular attention to detail
* Ability to maintain confidentiality when performing assignments that are sensitive/confidential in nature
* Cultural awareness and respect
* Ability to work effectively with diverse individuals and groups
* Ability to learn, focus, understand, and evaluate information and determine appropriate actions
* Ability to accept direction and feedback, as well as tolerate and manage stress
* Ability to see, read, and perform repetitive finger and wrist movement for at least 6 hours/day
