About the Role

As a Project Assistant
, you will be responsible for compiling, maintaining, and organizing accurate project and billing records. This includes managing documentation related to project activities, billing processes, compliance requirements, and submission deadlines. The role ensures that all project and billing data is properly tracked, accessible, and aligned with established procedures, quality standards, and timelines.

Essential Duties & Responsibilities
  • Collaborate with the Project Manager to prepare monthly project billings, including schedules of values, pay applications, notices of right to lien, lien releases (vendor and subcontractor), and related compliance documentation
  • Manage job start processes, including setup of new projects and associated work orders in the system
  • Enter and maintain project financial data, including budgets, phase codes, change orders, work orders, and billing rates
  • Ensure accurate and timely tracking and processing of team time entries into the payroll system
  • Create and enter billing rate templates as required for specific contracts or work orders and prepare billings tailored to customer‑specific requirements
  • Order and maintain insurance certificates to meet contract requirements
  • Process sub‑tier subcontractor purchase orders or agreements, including required compliance documentation (insurance, lien waivers, certified payroll), and support Project Managers with payment approvals
  • Submit certified payroll reports and EEO compliance documentation via appropriate platforms and websites
  • Perform additional administrative duties as needed to support the Admin/Project Assistant, Accounts Receivable, and Accounts Payable teams

We are looking for someone with the following competencies:
  • Five years of relevant experience/training, or an equivalent combination of education and experience
  • Strong basic math, written communication, and problem‑solving skills
  • Proficiency with Microsoft Office and spreadsheet/accounting tools
  • Ability to follow procedures and work independently
