The Operations & Client Support Manager is responsible for managing day-to-day operations and client support to ensure a smooth experience for students, families, tutors, and internal staff. This role is highly execution-focused and works closely with senior leadership, who retain responsibility for strategy, company leadership, and long-term planning.

Supervision and Collaboration- Reports to Executive Director
- Collaborates with Tutors for client services tasks
- Collaborates with Program Advisor to attract new clients
- Serve as the main point of contact for clients via email, phone, and internal systems
- Respond to client questions related to scheduling, billing, services, and policies
- Onboard new clients and students, ensuring records are complete and accurate
- Coordinate with tutors and internal staff to resolve scheduling or service issues
- Handle routine billing questions and flag complex issues for escalation
- Maintain a high standard of professionalism and warmth in all client interactions
- Manage client records, calendars, and internal systems to ensure data accuracy
- Process recurring and à la carte billing according to established procedures, support accounting within CRM
- Support payroll and timesheet processing by ensuring records are complete and on time
- Maintain organized documentation, SOPs, and internal reference materials
- Monitor shared inboxes and communication channels to ensure nothing falls through the cracks
- Coordinate with vendors, office services, and tools as needed for smooth operations
- Keep basic expense records and support bookkeeping workflows
- Other duties as assigned
- Support tutors and client support staff with scheduling, systems, and administrative needs
- Assist with onboarding logistics for new hires (accounts, training materials, scheduling)
- Track recurring operational tasks and ensure deadlines are met
- Surface issues, patterns, or gaps in workflows to senior leadership
- Follow established processes consistently while suggesting improvements when appropriate Job-Specific Experience, Education, and Skills Required
- Bachelor’s degree or equivalent professional experience
- 1–3 years of experience in operations, client support, office coordination, or admin roles
- Strong written and verbal communication skills
- Comfort learning and working in multiple software systems (CRM, scheduling, billing tools)
High attention to detail and strong follow-through - Ability to manage multiple tasks during a standard business day
- Professional, calm demeanor when handling client questions or concerns
Training and professional development will be provided on an as-needed basis. Required training will be fully funded by North Avenue and compensated as part of salaried role.
Performance Review Cycle- 90 days of employment
- Yearly thereafter
- Salary Range: $55,000–$62,500 annually, commensurate with experience
