Summary

The Admissions Coordinator is responsible for overseeing the admissions process, ensuring compliance with all regulations, and providing administrative support to the facility's leadership team. This role involves coordinating referrals, managing admissions paperwork, assisting with financial eligibility verification, and facilitating effective communication between departments to ensure smooth facility operations.

Essential Functions

  • Manage and facilitate the admissions processes in compliance with local, state, and federal regulations.
  • Coordinate referrals with hospitals, insurance providers, and clinical teams to expedite admission decisions.
  • Ensure all pre-admission requirements, including financial evaluations and authorizations, are completed.
  • Support accurate records of resident pay status, ensuring timely updates to facility census records.
  • Submit Notice of Action forms for Medicaid residents upon admission and discharge.
  • Complete and maintain the facility’s daily census records, ensuring accuracy in tracking resident status and pay sources.
  • Oversee completion and filing of admission paperwork per facility policies.
  • Conduct facility tours and provide information to potential residents and families.
  • Collaborate with the business office and clinical team to process resident data efficiently.
  • Monitor referral conversion rates and report obstacles to leadership.
  • Act as the second point of contact for resident trust fund transactions.
  • Distribute funds to residents, balance cash boxes, and ensure timely fund replenishment.
  • Maintain accurate financial records of transactions in compliance with facility policies and state regulations.
  • Perform clerical tasks such as document preparation, scheduling, transportation, answering facility phones and correspondence.
  • Assist with audits and reporting related to resident admissions and administrative functions.
  • Provide customer service support to residents, families, and staff.
  • Maintain confidentiality and compliance with HIPAA and facility policies.
  • Assist with performance improvement projects and facility assessments.
  • Coordinate with interdisciplinary teams to enhance efficiency and service quality.
  • Follow all infection control procedures and safety protocols.
  • Ensure compliance with company policies, ethical standards, and industry regulations.
  • Participate in emergency drills and provide assistance during facility emergencies.
  • Report workplace injuries, compliance violations, or suspected abuse as required.
  • Assist with ordering office supplies.
Required Skills/Abilities

Consistent execution of quality customer service. Ethical conduct. Able to effectively communicate with geriatric and/or confused residents and a variety of other people such as family members, visitors, vendors, Private Duty Residents, and staff. Positive and constructive attitude. Comprehension of medical terminology, advance keyboard/computer skills. Basic working knowledge of office equipment such as copier, printer. Proficiency in Microsoft Outlook, Word and Excel preferred.

This position is required to regularly work on campus.

Works in a well-lit and well-ventilated facility. May be exposed to confused, belligerent or physically aggressive residents, may be exposed to contagious diseases and mental stress.
