Executive Assistant

Pay: $30–$40 per hour DOE

Schedule: M–F, full-time, standard business hours with flexibility

Location: Hybrid based out of SE Portland

Duration: Contract to hire

The impact you’ll make: You’ll operate as a force-multiplier for leadership—driving projects forward, structuring work, and ensuring communication and logistics run smoothly. The ideal EA brings both project management rigor and executive-level service, thriving in a fast-moving environment while modeling confident, polished professionalism.

What you’ll do:
  • Own project schedules
    :
    Build, track, and update timelines, dependencies, deliverables, and milestones; surface risks and drive on-time outcomes.
  • Manage up
    :
    Anticipate needs and provide proactive support to program owners and executive stakeholders; keep leaders focused on the highest value work.
  • Coordinate communications
    :
    Serve as a point of contact for clients and subcontractors; draft, proof, and send professional correspondence; ensure timely follow through.
  • Create and maintain SOPs
    :
    Stand up lightweight, repeatable processes; keep documentation current and accessible.
  • Schedule & logistics
    :
    Calendar management, meeting coordination, agendas, notes, and action item tracking; arrange event and onsite logistics as needed.
  • Enable smarter work with tools
    :
    Evaluate and, where helpful,
    teach the organization how to leverage AI or other productivity tools to streamline workflows and decision making.
What you’ll bring
  • Background 3+ years as an Executive Assistance, or in Project Management, Operations, or a similar capacity.
  • Demonstrated experience running complex logistics (calendars, meetings, events) and keeping multiple projects on track
    .
  • Excellent written and verbal communication
    , with a crisp, client‑ready presence.
  • Process mindset
    :
    Comfortable building SOPs, documenting workflows, and improving how work gets done.
  • Tech‑forward & curious
    :
    Comfortable learning new tools quickly; interest in AI enabled ways of working is a plus.
  • Discretion & judgment handling confidential and sensitive information.
  • Education: High School Diploma or equivalent is required; furthering education such as a Bachelors Degree or beyond is preferred.
