Office Administrator/ Coordinator, Front Desk/Receptionist
Perkins Thompson is seeking an enthusiastic and professional Receptionist/Administrative Assistant to join our law firm's Portland office. This role is essential in fostering a welcoming and organized office environment. The ideal candidate will possess strong organizational skills and a friendly demeanor, contributing to the smooth operation of our office and enhancing the experience for our guests and team members.
This position is an excellent opportunity for individuals interested in a career in a legal support field or looking to gain valuable work experience in a professional office setting. The ideal candidate is friendly, reliable, detail-oriented, and possesses excellent organizational skills. Some office experience is preferred but not required.
Primary Duties and Responsibilities- Greet and direct visitors with a welcoming and professional attitude
- Maintain a clean and organized reception area to ensure a positive first impression
- Screen and route incoming phone calls on a multi-line phone system
- Retrieve, process, and distribute incoming mail
- Coordinate outbound mailings and overnight deliveries
- Schedule and coordinate internal meetings, including room reservations, catering orders, and setup/breakdown
- Prepare and distribute various office memos
- Copy, file, and fax documents
- Proofread, edit, and format documents for accuracy and professionalism
- Assist with other administrative tasks as assigned, including occasional local deliveries
Skills and Abilities
Required
- Proficiency in the use of MS Outlook, Excel, and Word
- Strong written and verbal communication skills
- Attention to detail and ability to proofread for grammatical, typographical, and contextual errors
- Strong organizational skills with the ability to prioritize multiple tasks under deadlines
- Ability to interact professionally and courteously with clients, attorneys, and staff
- Competence in operating standard office equipment, including computers, photocopiers, and scanners
- Ability to sit at a desk and work on a computer for extended periods
- Use of sensory activities, such as talking, seeing, and hearing
- Ability to sit, stand, walk, kneel, stoop, bend, lift, push, pull, pinch, grip, and reach overhead
- Ability to lift up to 20 pounds and retrieve/reorganize files from shelves up to 8 feet high
