As an Office Support Specialist within the Auditor’s Office Licensing and Recording division, you will serve as a trusted guardian of legally governed records and transactions that directly impact individuals, families, and businesses across the community. Every vehicle title processed, every business license issued, and every document recorded contributes to the legal and economic foundation of the county.

Office Support Specialist:
- Administer and process complex vehicle, vessel, business, and marriage licensing transactions in full compliance with Washington State laws, county ordinances, and Department of Licensing (DOL), Department of Revenue (DOR), and Department of Natural Resources (DNR) regulations, ensuring 100% documentation accuracy and legal sufficiency.
- Examine, analyze, and create legally binding public records by reviewing detailed documentation for completeness, authenticity, and regulatory compliance, safeguarding the integrity of county records.
- Calculate and collect accurate fees for a high volume of transactions, managing cash, checks, money orders, credit/debit payments, and in-house charge accounts.
- Balance and reconcile daily receipts and assigned inventory of license tabs and plates, conducting research and resolving discrepancies to maintain accountability and prevent loss.
- Leverage technology systems to capture, image, store, retrieve, and securely dispose of sensitive documents in accordance with Washington State retention schedules and privacy requirements.
- Collaborate cross-functionally with departments such as Public Works and the County Treasurer to process surveys, plats, condominiums, and large lot maps, ensuring tax certifications, seals, and governing approvals meet statutory standards before public release.
- Investigate and resolve complex customer inquiries, concerns, and complaints through tactful communication and problem-solving in a high-volume public service environment.
- Adapt and prioritize workload demands while maintaining high accuracy standards and meeting operational deadlines in a fast-paced, compliance-driven setting.
- Ability to obtain Washington State Department of Licensing Vehicle Field System certification within six (6) months of hire (Required).
- Commitment to maintaining required annual education hours to retain DOL certification.
- Minimum of two (2) years of administrative, clerical, or specialized office experience with heavy public contact (Required).
- Related education demonstrating required knowledge, skills, and abilities to perform the job may substitute for up to six months of experience.
- Strong knowledge of basic accounting and mathematics for fee calculation and reconciliation.
- Experience balancing daily receipts including cash, checks, and credit card transactions.
- Proficiency in document imaging, database systems, word processing, spreadsheets, and web-based systems.
- Ability to maintain confidentiality and handle sensitive information in accordance with strict legal standards.
- Exceptional customer service skills with the ability to navigate challenging interactions professionally and diplomatically.
- Demonstrated ability to establish and maintain effective working relationships using tact, courtesy, and sound judgment.
